For the last 25 years, we have been working to help women and families have better birth experiences, by caring for birthing people in our Clinic and Birth Centers, educating other care providers through our Institute, training the next generation of midwives at our School of Midwifery, and advocating for more equal birth outcomes through the work of our National Perinatal Task Force. Position Summary:
Commonsense Childbirth is looking for an Office Administrator to join our Admin team. As the Office Administrator at Commonsense Childbirth, you will play a critical role in the implementation of certain operational aspects of the business, and ensure successful communication with the Branch teams, cross-functional partners, and third-party vendors. This role will focus on learning and mastering operational platforms that primarily benefit our Branch teams, working in collaboration with the Admin team as needed, and supporting the Chief Operating Officer.
Essential Duties and Responsibilities:
- Oversee the smooth operation of the office.
- Monitor the Operations inbox and respond to inquiries.
- Collect, review, and distribute daily incoming mail and packages. Occasionally process outgoing mail and packages. May include going to the post office.
- Monitor inventory of office supplies and place orders with appropriate vendors. Stock and distribute office supplies, as necessary.
- Perform general administrative tasks such as data entry, company file management, and document preparation.
- Awareness of operational components of the brand and mastery of internal platforms.
- Manage on-site vendor contracts and relationships including, but not limited to, A/C, Fire Extinguishers and Inspection, Pest Control, Shred It, Stericycle, uniform vendor, and more.
- Manage business insurance and permits including liaising with contacts, overseeing the renewal process, ensuring timely payments, and documentation of certificates.
- Provide administrative and ad-hoc support to Commonsense Executive Team (i.e., C-suite).
- Support the Finance team data entry, invoice management, travel booking for staff members, check log, and bank deposits.
- Support the People Operations team with the Employee Onboarding and Offboarding process including, but not limited to, the creation of staff ID badges, distribution and collection of company devices and uniforms.
- Collaborate with Admin and Branch Leadership, and assist with special projects or ad-hoc errands, as assigned.
Required Qualifications
Skills and Experience
- Proven experience in office management or administrative roles
- Strong interpersonal, customer service, and verbal and written communication skills
- Excellent organizational skills and attention to detail
- Ability to take initiative and prioritize daily tasks
- Ability to maintain confidentiality of sensitive information
- Strong ability to take charge and meet tight deadlines
- Familiarity with office software, specifically Google Workspace, Canva, and Monday.com
Working Conditions / Physical Requirements:
- On-site in Winter Garden, FL
- Monday to Friday
- 40 hours per week
- Ability to lift and carry up to 20 lbs
