Northwest Beef Express, a cattle and commodity hauling business with over eighty-five employees, has an exciting opportunity for an Office Manager and its Hermiston, OR location. Northwest Beef Express is a family-owned company that services agricultural customers across the Pacific Northwest from its two main terminals in Hermiston and Nyssa, with support from its corporate headquarters in North Powder. Commodities hauled include wet distillers grain, corn, wheat, barley, and potato-byproducts from regional potato processing plants. The Office Manager is responsible for leading the team overseeing financial, compliance, administrative and recruiting functions for the company. The position requires high attention to detail, and excellent organization, communication, and time management skills.


Location: Northwest Beef Express, Hermiston, OR Office

Hours: Monday through Friday, 8-hour days



Requirements:

Requirements

  • Produce and distribute accurate, consistent, and professional work.
  • Facilitate meeting all daily, weekly, and monthly timelines.
  • Maintain communication with General Manager, Service Writer, Fleet Manager, Administrative Staff and Dispatch Teams at Hermiston, Nyssa, and North Powder locations.
  • Keep all documentation organized, up to date and in compliance.
  • Provide excellent customer service.
  • Maintain confidentiality.
  • Goal completion.

Primary

  • Hiring, training, and managing trucking administrative, recruiting and compliance staff (3 FTEs – 2 onsite, 1 remote).
  • Process commodity accounts receivable including: daily billing of WDGs, bi-monthly feedyard billing, outside grain hauls, shop work orders and washouts
  • Oversight and process verification of daily ticket entry and reconciliation for Hermiston and Nyssa.
  • Oversight and process verification of extra pay and incentive based pay entry.
  • Entry and tracking of driver PTO in payroll system.
  • Assure compliance to HACCP requirements.
  • Process accounts payable including: monthly statement reconciliation, purchase card system and inventory accrual.
  • Maintenance of internal ticket entry program including driver, freight rate, equipment, and haul changes.
  • Daily, weekly, and monthly fuel inventory and reporting.
  • Monitor shop technician hours in payroll software and update as needed.
  • Prepare bi-weekly timecard reports for management review and payroll processing.
  • Facilitation of parts inventory process monthly for Hermiston and Nyssa shop.
  • Assist with budget preparation.

Qualifications

  • Prior supervisory experience
  • Good computer skills including Excel experience
  • Strong communication skills (written and oral)
  • High attention to detail and organization
  • Ability to adhere to protocol and quality assurance standards
  • Strong interpersonal skills
