The HR Specialist provides support to the Director, Talent & Culture and will play a pivotal role in supporting the HR function. The HR Specialist ensures that our operations run smoothly and that our associates receive the highest level of support to achieve our mission of “Building Unstoppable Brands” through its most valuable resource – its people.


Responsibilities:

  • Assist with day-to-day operations of HR functions and duties.
  • Post job descriptions, track candidates, and schedule interviews through Paylocity HR system.
  • Complete on-boarding and off-boarding process for associates joining the agency and those departing.
  • Process documentation and prepare reports relating to HR related activities such as talent metrics and attrition.
  • Point person for general HR questions and concerns; escalating when necessary.
  • Maintain accurate and up-to-date human resource files, records, and documentation.
  • Document and update HR administrative processes.
  • Assist in payroll preparation by providing relevant data and updating payroll spreadsheet with changes.
  • Handle monthly reconciliation of all benefit invoices.
  • Act as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
  • Maintain the integrity and confidentiality of human resource files and records.
  • Collaborate with Director, Talent & Culture on both large and small scale projects.
  • Assists with new hire orientation.
  • Compiles information for monthly HR newsletter, and updates HR intranet.
  • Plans and executes special events such as organization-wide meetings, holiday parties, and other celebrations.
  • Helps to drive a positive culture in collaboration with the Culture Committee.
  • Performs other duties as assigned.

Requirements:
  • Associates Degree or higher in Business Administration or equivalent years of experience. HR certification a plus.
  • Proven experience as an HR assistant, specialist, or relevant HR/administrative position.
  • Experience with Paylocity HRIS preferred but not required.
  • Advanced computer skills in Microsoft Office (Outlook, Word, Excel, and PowerPoint) with a very strong ability to work within and understand Excel.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent multitasking, organization, and time management skills with the ability to prioritize.
  • Exceptional attention to detail and a commitment to accuracy.
  • Ability to operate independently with minimal supervision, demonstrating a proactive and self-motivated work style.

Physical Requirements & Working Conditions:

  • Ability to sit or stand for prolonged periods of time
  • This position requires time in office buildings or outdoors
  • Ability to lift up to 15 lbs.
