Our growing and dynamic agency is now looking for an Operations Coordinator to join our Operations team.

At BMF, the Operations Coordinator's main role is to help ensure all projects are completed on time and meet or exceed expectations. You will collaborate with the Resource Manager and Head of Operations to maintain a smooth workflow, bringing confidence, resourcefulness, and multitasking skills to the team.

What a day in the life will look like:

Throughout the day you will be responsible for:

Operations and Infrastructure Support

  • Support the Operations Manager and Head of Operations in team training and upskilling initiatives
  • Become a super-user and internal champion of BMF systems, including Workbook
  • Coordinate with external partners/consultants (insurance, legal, IT, etc).
  • Support the planning of staff wellness and development activities and trainings, as well as managing and maintaining the budget

Administrative Support:

  • Develop and implement tracking systems and documentation to monitor and optimize internal processes and workflows.
  • Reviewing our Project Management System (Workbook) to ensure it is up to date; work with the staff to ensure its maintenance.
  • Updating and maintaining the company's main resource hubs as needed.
  • Collaborate with the IT team to ensure the smooth operation of the organization's technological infrastructure and systems.
  • Maintain inventory of all BMF hardware and software
  • Draft freelance contracts to establish clear terms and expectations, ensure freelancers receive appropriate on-boarding and systems support
  • Collaborate with the finance and accounting departments to ensure timely and accurate payments to freelancers.
  • Supporting the Recruiting Manager with the internship program, including:
    • Drafting offer letters
    • Supporting with onboarding
    • Drafting Job Descriptions and posting them on our designated platforms (LinkedIn, Handshake, School Portals, etc.)
    • Coordinating the onboarding / recruitment process for interns.
    • Providing guidance and support to interns throughout their tenure

Requirements

What you need to succeed at BMF:

  • 1-2 years of experience in an administration or project coordination role or internship
  • Highly organized and deadline-oriented.
  • Strong written, oral, and interpersonal communication skills.
  • Skilled at balancing and prioritizing multiple projects at one time.
  • Being adept at changing priorities and working independently on multiple projects simultaneously.
  • Exceptional Excel skills.
