Full Time Office Administrator (40 hrs week).

The Office Administrator will be responsible for the daily administrative duties of the office. This will include but not be limited to: performing general administrative and bookkeeping duties such as accounts payable & receivable, payroll, Job Costing and assisting in the scheduling / logistics of paint crews.

The candidate will have excellent organizational and communication skills and a strong ability to multitask.

Position Overview:
  • Provide support to the following functions: Marketing, Sales, Production, Financial, Administrative, Human Resource and Business Development.
Responsibilities:
  • Create sales packages, send and schedule estimates for Sales Associates
  • Send estimate follow up letters to customers with Sales Associates direction.
  • Ensure all marketing tactics are executed as per the Companys Annual Marketing Plan.
  • Ensure all customer mailing lists are up to date.
  • Maintain inventory and update all point of sale material.
  • Order paint and materials with Production Associates direction.
  • Enter Annual Financial Plan (AFP) into QuickBooks.
  • Issue Purchase Orders (POs).
  • Pay all bills and maintain all files.
  • Manage paperwork for new hires and terminated employees.
  • Conduct constant follow ups with customers.
  • Participate in regional or national on-going training conferences/meetings.
Qualifications/Certifications:
  • High school diploma or GED
  • College degree a plus
  • Experienced with social media and digital marketing
  • Organized and detailed oriented
  • Knowledge of Microsoft office packages
  • Proficiency in QuickBooks (preferred)
  • Excellent verbal and written communication skills
  • Excellent organizational and time management skills
  • 1-3 years of Office Assistant experience
