ABOUT THE POSITION

Fairchild Equipment, Inc. is seeking a stable, hard-working, dependable and self-motivated Office Assistant. This position requires you to provide administrative and clerical support to the Equipment Sales Department on a day-to-day basis. Fairchild Equipment prides itself on its Core Values and promoting its employees’ growth within the company and welcomes the individual who shares those values. This is a full-time position out of our corporate office in Green Bay, Wisconsin.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greet and direct visitors to appropriate individuals based on their needs.
  • Distribute incoming/outgoing mail; daily mail distribution and pick-up at our Hutson branch.
  • Carry out administrative duties such as creating customer presentations, filing, typing, copying, binding, scanning and more.
  • Run daily new truck order downloads, save documents on company shared network in proper sales file.
  • Generate quotes for allied and used departments as requested by sales representatives or Sales Office Supervisor.
  • Guaranteed Maintenance (GM) agreement creation; write, submit and track all GM Agreements.
  • Write and send new truck and allied ship-in dealer letters for units shipped directly to other dealers to prep and delivery to our customers that are outside of our footprint of business.
  • Manage the promotional inventory at our Green Bay Branch and work with the marketing department to order and maintain the inventory.
  • Contact vendors to receive clarification on packing slips and bill of ladings (BOL) that are received without enough information to know how to process and file.
  • Providing excellent customer service at all times; answering and returning phone calls and emails timely.
  • Cross train with all Sales Department associates to better assist and back-up the department when requested by team members and Sales Office Supervisor.
  • Willingness and ability to learn Fairchild’s business software(s).
  • Accept new duties and responsibilities as requested by management.

QUALIFICIATIONS/REQUIREMENTS:

  • Ability to organize, multi-task, and meet deadlines with an eye for accuracy.
  • Excellent customer service skills.
  • Proficient with Microsoft Office Suite and intermediate Excel skills required.
  • Strong communication, problem solving, and analytical skills required.
  • Adapt and work in a fast-paced environment.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

  • Ability to sit for extended periods of time. 
  • Ability to walk and stand for extended periods of time throughout the day. 
  • Ability to reach, stoop, and lift on a frequent basis.

EDUCATION AND EXPERIENCE:

  • High School Graduate or General Education Degree (GED) required.
  • 1-3 years of business administration or related experience.
