Trinity is currently hiring a part-time Administrative Assistant to the Compliance Officer, to assist with the tasks, projects, and administration of Trinity's compliance, information security, privacy, quality assurance and staff development endeavors.

What You Will Be Doing as the Administrative Assistant to the Compliance Officer?

Compliance:

  • Functions as confidential assistant to the Chief Compliance Officer; participates in confidential internal compliance-related investigations.
  • Assists with the implementation, maintenance and improvements to the agency's compliance program.
  • Create systems and monitors agency compliance with audit results, due dates, regulatory and contractual requirements.
  • Plans, conducts, documents, and reports on the results of various internal audits/evaluations.
  • Assists in the planning, scheduling, conducting, and evaluation of new employee compliance orientations.

Information Security, Privacy:

  • Assist with the education about, and implementation and monitoring of the HIPAA privacy program.
  • Collaborate with leadership staff to enhance staff understanding of and compliance with HIPAA rules.

Staff Development:

  • Assists in the coordination of individual, group and agency-wide trainings and educational opportunities, both in person and virtual.
  • Maintains agency educational calendar; obtains and disseminates information on upcoming educational opportunities.
  • Assists with the agency's learning management platform.

General Administrative:

  • Performs various administrative tasks such as paper and electronic filing, internet research, scheduling, taking meeting minutes, typing, and other related duties.
  • Assists with the development of policies and procedures and their updates; organizes and maintains electronic and/or paper systems to maintain an ongoing inventory of same.
  • Creates and maintains manual and electronic reports.
  • Participates in meetings as required.
  • Assists in meeting deadlines.
  • Collaborates with other staff to complete special projects/tasks and participates in committees or ad hoc groups as needed.
  • Other duties as assigned.

MINIMUM REQUIRED SKILLS & ABILITIES:

  • Ability to complete complex tasks accurately and independently or with little direction.
  • Proven organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficient with Microsoft products, spreadsheets/Excel.
  • Willingness to access information about and learn regulations, laws, and contractual expectations.
  • Ability to maintain confidentiality.
  • Proficient reading and writing English, excellent written and verbal comprehension.
  • Bilingual is encouraged.
  • Ability to acknowledge own learning needs and seek training.
  • Valid NYS license and vehicle and/or access to reliable transportation.

ADDITIONAL SKILLS PREFERED BUT NOT REQUIRED:

  • Ability to analyze data and information, and create quantitative and qualitative reports.

EDUCATION & EXPERIENCE:

  • Minimum associate degree; bachelor's degree preferred.
  • Experience working in human resources, compliance, cybersecurity, privacy, risk management or other related field, preferably within a non-profit setting.
  • Minimum one year experience in an office setting.

The individual hired will work alongside the Chief Compliance & Privacy Officer overseeing the day-to-day management of the Compliance Office.

Salary: $19.23 per hour; Full Time.
