Sales Support Associate

Primary Responsibility Summary

Assist the Regional Sales Manager and the Sales/Rents/PSSR team with administrative work and data entry by preparing contracts, researching equipment, creating sales packets and helping to find information that is needed to fund/finalize deals.

Responsibilities

Using Salesforce research equipment availability and pricing

  • Requires complete understanding of all salesforce functions and variety ways of acquiring the information.

  • Ensures that trade information is complete to invoice customer

  • Must confirm that all information is accurate to proceed with processing to invoice

  • Creates, Changes, Opens and Closes Sales, Rental & Demo Opportunities in Salesforce

  • Involves searching for appropriate equipment for Rental/Demo opportunities

  • Verifying that account information is accurate, correct account, tax status

  • Proper insurance documentation is available, sometimes requires research

  • Verify credit

  • Coordinate all trucking arrangements

  • If sale is financed, getting all the correct finance documents signed and submitted

  • Understands the state laws and regulations for sales

  • Tax differences

  • Title differences

  • Provides warranty information and buyers guide to customers in a timely manner

  • Reviews all DPO’s sent to Corporate

  • Rentals/Demos OUT/IN

  • New equipment from mfg,

  • Determine if equipment is SEC Stock or Ordered in for customer sale

  • Maintains the appropriate files & copies in an organized filing system, computer & hard copy

  • Maintains the SSA Monday Board for accuracy

  • Stores needed documents for sale

  • Keeps track of needed documents for sale and commission

  • Creates/Schedules Trucking Requests & PO’s for Hired & Internal Trucking

  • Schedules ALL trucking in and out of the responsible branches, determine if using internal vs hired trucking

  • If internal trucks

  • Coordinate with Trucking Manager and appropriate documentation provided

  • If Hired Trucking

  • Creates all Purchase Orders

  • Create Trucking Requests to submit to Trucking Vendor and appropriate documentation

  • Add to Trucking Calendar according to standards required by Trucking Manager

  • Assist Parts in Determining s/n of attachments

  • Researching Equipment/Attachment numbers and possible s/n of units

  • Submitting New Equipment/Attachment orders to Purchasing Agent from signed sales orders

  • Verifying that sold unit needs to be ordered or is it in stock

  • Sending the correct/required information to Purchasing Agent

  • Responsible for Releasing SEC Equipment/Attachments from their branch locations

  • Researching equipment status

  • Is equipment already committed to a previous sale

  • If opportunity status is at 75% or more, required research of quote with other salesmen, SSA, RSM and OP’s team

  • Is equipment already committed to previous Demo/Rental

  • Is equipment ready for Demo/Rental

  • Research with OP’s team for equipment status

  • Any other duties related to the sale, rental or lease of equipment

  • Attend/Participate in all applicable meetings and training sessions

  • SSA’s are the bridge between Purchase Orders of ordered machines, BSP, Finance, Insurance, Warranty, Sales orders, Trucking, etc.

Accountability Chart Responsibilities

  • Assist sales team on equipment sales as needed

  • Researching equipment availability

  • Review and potentially creating all salesmen’s deal sheets and opportunities for accuracy

  • Submit Get Ready to shop for demo/rental/sold equipment

  • Submit all salesman’s paperwork to corporate for Invoicing, Warranty, Commission

  • Coordinate all attachments for demo/rental/sold equipment

  • Coordinate with trucking manager for all equipment moves and po's

  • File and save all pertinent paperwork for sold equipment

  • Use Monday and CRM appropriately

  • Review DPO’s for your branch’s responsibilities

  • Working with RSM on deals

  • Responsible that photos are uploaded to SF

  • This requires coordination with the OP’s team to acquire the photos and their correctness

Educational and Experience Requirements

  • Preferred Post high school education (Community, University or Trade School) or professional development courses in sales, or office administration
  • Working knowledge of Excel, Word, Outlook, Docusign/Hello Sign, CRM experience are preferred

  • 6 months to 3 years administrative experience
