ESSENTIAL JOB FUNCTIONS & MEASURES
The Operations Support Specialist is a pivotal role designed to support the Director of Branch Operations in driving operational efficiencies across the organization. This role focuses on data-driven analysis, process improvement, and effective training development to enhance overall branch operations.
Key Responsibilities:
- Data Analysis and Reporting: Perform in-depth analysis of operational data across various branches to identify trends, inefficiencies, and areas for improvement. Lead By Director of Branch Operations.
- Training and Development: Create and maintain robust training programs tailored to the needs of branch managers and staff to ensure optimal operational performance.
- Process Compliance and Improvement: Daily review operations to ensure compliance with established practices and to enhance overall efficiency.
Specific Projects:
1. Invoice and Returns Analysis Project:
- Daily review and analysis of invoice and returns data.
- Provide training examples based on common issues to enhance consistency and accuracy among managers.
2. Open Orders Review and Compliance Project:
- Daily monitoring and analysis of open orders with batch processing.
- Implement improvements and training to enhance compliance and efficiency.
3. Warranty Returns and KPI Tracking Project:
- Oversee and analyze daily warranty returns reports.
- Track key performance indicators and compliance levels, providing actionable insights to management.
4. Bid Management Optimization Project:
- Review daily bids and manage follow-up processes.
- Create standardized procedures to ensure consistency and effectiveness in bid management with Branch and sales management.
5. Hold Reduction Initiatives:
- Conduct daily reviews of RP and IC holds.
- Analyze root causes and provide data helping management develop strategies to reduce common holds effectively.
6. P2 Reporting and Action Planning Project:
- Analyze P2 data to determine trends and inefficiencies.
- Assist in providing data that creates action plan based on findings to drive improvements.
7. Elite Extra Reporting Enhancement Project:
- Streamline the reporting process on shared drives.
- Review and analyze KPIs to identify improvement opportunities.
8. Spiff Program Management Project:
- Create and maintain tracking systems and dashboards for the Spiff program.
- Coordinate with vendors to develop resources and quick reference guides.
9. Consignment Process Optimization Project:
- Monitor spreadsheet consignment process to enhance efficiency and compliance.
10. Meeting and Documentation Support Project:
- Manage logistics and documentation for operational meetings to enhance accountability and track implementation of strategic decisions.
Skills Required:

Qualifications:
- Bachelor’s degree

Work Environment/Physical Demands:
This job operates in a clerical, office setting. This position routinely uses standard office equipment such as computers and phones. While a largely sedentary role, some lifting or carrying of items up to 25 pounds may occasionally be required.
