Position Summary

The Front Desk Office Manager serves as the first point of contact for clients, visitors, and staff. This role involves greeting visitors, managing incoming calls, scheduling appointments, and performing various administrative duties. The Front Desk is essential in creating a welcoming and efficient environment.

Key Responsibilities
  • Client and Visitor Interaction:

    • Greet and welcome clients and visitors with a positive, helpful attitude.
    • Provide accurate information about the organization’s services, policies, and procedures.
    • Direct visitors to the appropriate person or department.
  • Phone and Communication Management:

    • Answer, screen, and forward incoming phone calls in a professional manner.
    • Handle inquiries, take messages, and route them to the appropriate parties.
    • Maintain an organized and current contact list.
  • Appointment Scheduling:

    • Schedule and manage appointments for clients and staff.
    • Coordinate meeting room bookings and ensure availability.
  • Administrative Support:

    • Perform basic clerical tasks such as data entry, photocopying, faxing, and filing.
    • Receive and sort daily mail and deliveries.
    • Maintain a clean and organized reception area.
  • Security and Compliance:

    • Monitor visitor access and maintain security protocols, including visitor logs.
    • Ensure compliance with all company policies and procedures.
  • Office Supplies and Maintenance:

    • Track and order office supplies to ensure the front desk is stocked.
    • Coordinate maintenance and repair of office equipment.
Qualifications
  • Education:

    • High school diploma or equivalent.
    • Additional training or certification in office administration is a plus.
  • Experience:

    • Previous experience as a receptionist, front office representative, or similar role.
    • Experience in customer service or administrative support.
  • Skills:

    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Strong organizational and multitasking abilities.
    • Professional appearance and demeanor.
  • Personal Attributes:

    • Friendly and approachable with a positive attitude.
    • Detail-oriented and reliable.
    • Ability to handle stressful situations calmly and efficiently.
Physical Requirements
  • Ability to sit or stand for extended periods.
