Job DescriptionJob Description

The Wedding & Event Coordinator will be the point of contact for weddings and groups while on property. The coordinator is also the liaison between the group and the rest of the staff while the group is on property. In addition to the above responsibility, the coordinator will work with the Director of Catering to assist in planning and detailing future groups. They will have excellent relational and personable attributes, organizational and computer skills, exceptional customer service skills and a passion for the hospitality industry. Must be able and willing to work a flexible schedule including nights and weekends based on departmental needs. Strives to model the Pursell Farms core values in the completion of their work.

  • Manage the planning, execution and supervision of assigned events, primarily Weddings, to include sales, negotiations and client satisfaction.
  • Communicate all group specifications and history to the appropriate operational departments.
  • Ensure that all specifications are implemented and executed to established guidelines.
  • Accurately forecast group revenues according to established guidelines.
  • Ensure the proper use of function space, exhibit hall and overall event space.
  • Maximize group revenue by referring available goods, services, attractions, and subcontractors to conference groups.
  • Proactively up-selling to customer needs.
  • Oversee contracted room blocks to include cutoffs, attrition, etc.
  • Plan and develop programs, resumes, agendas, and services utilizing the Sales and Catering system according to client requirements and established guidelines.
  • Create external communications to include contract addendums, introductory letters, appropriate property information, contracts, proposals, and tentative schedule of events for assignedgroups.
  • Manage client satisfaction through the smooth execution of all assigned events.
  • Ensure that all conferences adhere to company policies, fire department regulations, state liquor laws and other applicable government regulations.
  • Serve as an Ambassador for Pursell Farms in the community.
  • Assist Sales team with lead generation campaigns; including service and coordination of multi-day events, cold calling, wedding coordination, recreation coordination and ability to work attend and work a trade show.
  • Provide excellent follow through; taking client events from contract to successful completion.
  • Perform all other duties as needed

DESIRED SKILLS AND QUALIFICATIONS:

Education:

  • High School Graduate

Experience:

  • Minimum of 2 years' experience in hotel/resort conference services preferred but not required.

Skills and Abilities:

  • Banquet experience highly desired.
  • DELPHI software experience preferred, but not required
  • Excellent relationship builder and good at connecting with clients
  • Excellent written and oral communication skills required.
  • Great computer and administration skills.
  • Passion for hospitality.
  • Takes ownership and accountability of projects and events.
  • Highly resourceful, organized, personable, refined, and positive interpersonal skills required.
  • Ability to foresee customer needs and develop long-lasting client relationships while working with high-end customers, brands, and clients.
  • Creative thinker; creating themes and upscale events for our customers.
  • Ability to work a varied schedule, including weekends, holidays, and evenings.
  • Proficiency in the following software required, MS Outlook, Word, Publisher, Excel, PowerPoint.
