The ideal candidate will have a deep understanding of payroll practices, procedures, and compliance laws at both the federal and multistate levels. This role is crucial in ensuring accurate and timely payroll processing for our diverse workforce.

 

Key Responsibilities:

  • Payroll Processing: Manage and oversee the preparation, processing, and balancing of payroll for all employees, ensuring accuracy and timeliness for salary, equity, bonus, benefits, and taxes.
  • System Implementation: Lead the implementation and optimization of payroll systems, specifically ADP Workforce Now. Manage upgrades to the payroll platform as needed.
  • Compliance: Ensure compliance with all federal and multistate payroll laws and regulations. Stay current with changes in payroll laws, benefits changes, and labor laws impacting the payroll process for all payroll tax jurisdictions. Manage employee globalization initiatives and ensure proper treatment of reportable benefits for tax-equalized employees.
  • Internal Controls: Identify and implement appropriate control and compliance mechanisms for payroll. Develop and maintain robust internal controls to ensure the accuracy and integrity of payroll operations. Drive consistency and coordinate regional efforts towards process standardization while allowing local flexibility when required.
  • Reporting: Prepare and distribute detailed payroll reports and statements for internal and external stakeholders. Proactively prepare relevant management reports as needed.
  • Leadership: Supervise and mentor the payroll team, providing guidance and support to ensure high performance and professional growth. Oversee processing of payroll changes, including new hires, terminations, raises, and system upgrades.
  • Analytical Support: Utilize strong analytical skills to identify and resolve payroll discrepancies and issues. Conduct regular audits to ensure data accuracy.
  • Communication: Maintain clear and effective communication channels with employees, management, and external partners regarding payroll-related inquiries and issues.
  • Training: Train and educate employees and management on payroll policies, procedures, and system usage.
  • Audit Coordination: Work closely with external auditors to complete the annual company’s 401k audit, workers’ compensation audit, and financial statements audit.
  • Project Management: Manage and execute payroll-related projects and initiatives cost-effectively. Collaborate with internal and external teams to streamline processes to ensure accuracy and best-in-class services.

Qualifications:

  • Bachelor's degree in Accounting, Business Administration, Human Resources, or a related field preferred.
  • At least 5 years of payroll management experience, with proven experience in payroll system implementation and management.
  • Proficiency in ADP Workforce Now is a must.
  • Extensive knowledge of payroll software and systems setup.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Deep understanding of payroll practices, procedures, and compliance laws at both the federal and multistate levels.
  • Up-to-date knowledge of multistate payroll procedures and related laws.
