At Whole Wellness Therapy, we believe that the therapeutic journey begins with the first step of asking for help. To support those who are seeking therapeutic services, the Care Specialist’s role is to be a helping hand, a listening ear, and guide to those that are ready to get started on their journey to wellness.

We understand that the relationship between the Client and Therapist serves as a foundation to the development of growth. That being said, it is the Care Specialist's role to help prospective clients find the right fit for the whole person.

Essential Function: This position is responsible for answering phones, scheduling appointments, data entry, and some marketing tasks.

Daily Responsibilities and Duties:

Core duties and responsibilities include the following:Answer live calls during the hours of 9am-5pm, M-F.

  • Hold 20-30 min. phone consultations for prospective clients and help connect them to the therapist that best matches their needs/preferences.
  • Assist clients through the client onboarding process.
  • Respond to the administrative needs of clients and therapists, including rescheduling/canceling sessions, updating client information, answering general inquiries, responding to emails, etc.
  • Provide a timely response to scheduling and general information emails.
  • Advise clients that WWT is a fee-for-service company and they will be required to pay for their first session at the end of the session by check or credit card. Upon the client’s request, they will be given a billing statement or Super Bill to submit to their insurance provider for reimbursement.
  • Enter data into electronic health records, i.e. SimplePractice.
  • Marketing tasks, such as the creation of an email newsletter, blogging, Instagram, Facebook, etc. as assigned.
  • Scanning, faxing, mailing documents.
  • Following up with clients on past due balances.
  • Run business-related errands as needed, e.g. post office, grocery store, office supply store, etc.
  • Complete weekly office related duties, including light cleaning, ordering/restocking of supplies, watering plants, etc.
  • Attend weekly and monthly staff meetings.
  • Other duties as assigned by our Executive Director.
  • Maintain client confidentiality, providing the highest quality care possible.
