Job Description and Position Requirements

Overview:

The Service Coordinator is responsible for performing duties pertaining to the scheduling, work order processing, invoicing, and spare parts replenishment of MEIKO Field Technicians. Position reports to Coordination Supervisor.

REQUIREMENTS:  SERVICE COORDINATOR

•           Expert level EXCEL skills

•           Organized and have the soft skills to collaborate with team members and patients.

•           Office experience in a professional environment

•           Positive attitude and a team player.  Excellent soft skills

•           Must be able to convey a positive attitude and promote company professionalism at all times while assuring policies are properly conveyed for successful completion of PM and field repairs of MEIKO equipment utilizing the external service team

•           Excellent customer relations skills/follow-up skills/organizational skills.

•           Professional office conduct and wherewithal is a must.

•           Must be able to multi-task between varying required deadlines for customer projects, repair schedules, daily phone calls, and various company events while actively pursuing customer commitments to ensure proper scheduling.

•           Excellent computer skills. Must be fluent in Word, Excel, Outlook for emails and database upkeep.

 

RESPONSIBILITIES:  SERVICE COORDINATOR

•           Gets direction from Coordination Supervisor for daily or weekly priorities with respect to task lists required to stay atop of service scheduling priorities. 

•           Maintains close contact with End User accounts and technicians in the US to facilitate processes to organize services.

•           Assisting in arranging account set up for direct bill accounts, quoting customers on repair services or PM agreements, maintaining calendar schedule for upcoming PM services, etc.

•           Collects MSA Service Reports and generates quotes, orders, or invoices to reflect the detail in the respective reports.

•           Follows company guidelines to initiate proper document to end users, establishing and/or utilizing their account to assure proper payment remittance. Assists in collections as needed for unpaid services

•           Handles inventory transfers to remote warehouses, or expedited shipping as needed, to satisfy outstanding service requirements.

•           Communicates regularly between sales and service teams to firm up necessary customer visit requirements

•           Completes paperwork properly with respect to final reporting methods, to assure each project is properly logged, performed, and reported on

 

General reporting:

The Service Coordinator reports to the Coordination Supervisor for daily tasks and immediate needs. This position has a dotted line to the Service Director for elevated issues where/as needed.

Position is hourly-based, and requires office presence of at 5 days a week (or as needed/directed by Director or Service or required by Coordination Supervisor) Monday – Friday, 8am – 5pm CST until the tasks are mastered. Position will then be considered for 2 days a week remote as allowable.

Qualifications:

·       Must have excellent skills with EXCEL

·       2+ years of working as an office assistant in a fast-paced environment

·       Must be a self-motivated and able to multi-task

·       Extrovert personality and enjoys interacting with people daily

·       Excellent soft skills over the phone and in person

Task List:

·       Phone responsibility for team members and customers

·       ERP system expert on processing spare parts orders, transfer, commissions, etc.

·       Works with installation coordinator to ensure availability for both projects and service requirements

·       Excel data entry and reporting

·       Email and phone duties including customer contacts and other team members

Compensation:

Position is intended to be hourly with typical MEIKO benefit-offerings including traditional vacation, PTO, company holidays, 401k and insurance options. Position is entitled to other company programs such as bonuses and would receive the dedicated amount as noted for hourly employee. Subject to COLA increases as determined by Company annually.

Hourly salary should range between $20-$24 depending on experience.
