Position Details

The Care Traffic Controller provides scheduling, payroll, and billing support for the Home Care team across all regions in Washington. This position is vital to ensuring the efficient operations of the Home Care team, developing and improving billing, payroll and scheduling processes, and training Home Care Coordinators on timekeeping, authorizations, scheduling, and CarePro orientation.

Job Duties

  • Provide scheduling support when Home Care Coordinators are in the field
  • Coordinate with Home Care Coordinators and Finance Manager during payroll to ensure payroll issues are resolved timely
  • Coordinate with Home Care Coordinators and Finance Manager on billing issues to ensure billing is sent out timely and accurately 
  • Train new Home Care Coordinators on scheduling best practices and Family First Home Care scheduling procedures
  • Train Home Care Coordinators in finalizing daily time edits.
  • Train new Home Care Coordinators on new CarePro orientation (scheduling and CC tags)
  • Work with Home Care Coordinators to ensure team lost hours, open shifts and overtime are minimized and kept within acceptable limits
  • Regularly monitor the Home Care department’s monthly staffing statistics and develop solutions to increase client hours and satisfaction  
  • Ensure proper CarePro rates are assigned, and appropriate billing codes are used  
  • Ensure Clear Care system information is current and up to date  
  • Develops policies and procedures to ensure consistency in billing, timekeeping, payroll, scheduling and other practices
  • Coordinate with Recruiters to ensure staffing levels are met and maintained across the region
  • Manage client authorizations
  • Participate in regularly scheduled on-call rotation to handle off-hours staffing needs   
  • Adhere to all guidelines and policies outlined in Family First Employee Handbook  
  • Travel within the greater Spokane/Tacoma/Seattle area as needed or assigned  
  • Preforms any other duties as needed or assigned  

Qualifications


Experience/Education Requirements

  • Current Certified Nursing Assistant or Home Care Aide Certification preferred  
  • Strong staffing/scheduling experience required
  • Nurse Delegation experience preferred 
  • Diabetes Delegation preferred  
  • Ability to travel required within the assigned service area  
  • Comply and maintain valid Driver’s License, vehicle insurance and clean DMV record  
  • Strong computer and technology acumen 
  • Strong training skills with a high level of professionalism

Skills and Abilities

  • Knowledge and skills pertaining to scheduling; the ability to piece together multiple schedules and move schedules around in order to keep schedules within a 40 hour per week or less time frame.  
  • The ability to lead, manage and mentor individuals; actively looking for ways to help people.  
  • Knowledge of principles and processes for providing customers and personal services.  This includes customer needs assessment, meeting quality standards for services and evaluation of customer satisfaction.  
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.  
  • The ability to communicate through different modes of technology such as email, documentation software, and scheduling software.  
  • Knowledge of relevant equipment, policies, procedures, to maintain compliance with WA State regulations.  
  • Knowledge of the structure and content of the English Language including the meaning and spelling of words, rules of composition, and grammar.
