Basic Function:

The Closeout Coordinator will drive forward all required deliverables in line with the EPC contract, PPA, O&M Handoff and Independent Engineers report. The role will be to plan, manage, maintain, and report progress of the projects on a weekly basis. The Closeout Coordinator will also work as a conduit for all EPC requests from Finance, Development, IE, and Legal.

Major Responsibilities:

  • Host Weekly Project Manager Closeout Meetings
  • Create & Manage Project Mechanical Completion – Substantial Completion – Final Completion Checklist
  • Track, Manage and Prioritize project related issues
  • Monitor and effectively respond to team needs and potential problems
  • Works with other departments to gather all required deliverables/documentation (Some deliverables include: Specs, Warranty Assignments, Drawings, Testing Reports, Permits, Photos etc.)
  • Upload any/all deliverables onto Procore, Box or any customer/client ftp sites
  • Attend Weekly Project Construction Meetings and maintain record of EPC requests, Call attendee list and any vital project information that may need to be escalated
  • Gather and process approvals, signatures and notarize (when applicable) payment applications, lien waivers, change orders, EPC Contracts, subcontracts, purchase orders, bonds, insurance and milestone certificates
  • Monitor and Follow up on Scheduling, Budget, and other requests from other NJR CEV departments i.e. Business Development, O&M and Legal
  • Monitor, coordinate and follow up with public approval entities (State, County, Municipal)
  • Responsible for keeping dates on Solar Project Status Checklist sheet up to date through communication with the Project Manager
  • Manage Procore (project construction document software)
  • Ensure projects deliverables are complete on time and in scope
  • Work to support Project Managers and Customers/Clients
  • Responsible for getting Care, Custody & Control transferred over to the O&M Department (when applicable)
  • Manage and prioritize workload to meet project timelines
  • Responsible for EPC to O&M Handoff upon project completion
  • Successfully interact with other departments to improve efficiencies
  • Perform other job-related duties as assigned

Position Specifications:

  • Associates degree or equivalent work experience
  • 5-7 years relevant business support experience
  • Strong project management skills
  • Ability to use own initiative
  • Ability to work as part of a team
  • Working knowledge of computer-based software applications including but not limited to Microsoft Suite (Word, Access, PowerPoint, Excel, Outlook)
  • Excellent communication & problem-solving skills

  • Motivated
  • Relevant working experience in Construction is helpful
