Our team is seeking a detail-oriented and dedicated Operations Coordinator to oversee day-to-day processes and procedures. The ideal candidate strategically utilizes systems and tools, balancing problem-solving with timely execution. The Operations Coordinator is passionate about delivering excellent customer service in a high-end market and nurturing relationships with vendors. The ideal candidate must have remarkable verbal and written communication abilities. They must thrive in a rapid-paced and ever-changing atmosphere and have excellent follow-up skills. This position is full-time, with a mix of in-office and remote work.


Key Responsibilities:

  • Streamline office operations and support the team lead and realtors in various capacities, ensuring the office runs like a well-oiled machine.
  • Manage the preparation of listings, and marketing of properties. You'll be instrumental in getting listings up and running, working closely with the agent to prepare for open houses. This includes learning and working with the local MLS and other listing portals to ensure maximum exposure.
  • Your responsibilities include relaying important messages to the broker and scheduling the broker’s meetings 
  • Support the broker in a wider array of real estate-related activities
  • Provide contract assistance to transaction coordinators or other real estate team members, as well as filing all paperwork efficiently
  • Handle data entry, maintain and update client information in our CRM, and generate clean, accurate spreadsheets for farming and analysis.
  • Handle vendor invoices and keep accurate records of all transactions.
  • Handle all client communications with a high level of professionalism and care. This includes responding to client inquiries and email promptly and courteously. Ensure clients feel valued and informed throughout their journey with us.
  • Maintaining an up-to-date calendar for all appointments, showing and advertising/marketing initiatives.
  • Manage the email inbox and reply promptly and professionally. 

Qualifications:

  • Real estate license preferred but not required
  • Ability to work both independently and collaboratively in a team environment
  • Strong communication skills, both written and verbal, with a customer service-oriented mindset. Able to handle client communications effectively. 
  • Experience with Google products, proficiency in Mac OS, Dotloop, Adobe, Lofty, Zoom and general office technology, including printers. 
  • Ability to learn and work with local MLS and other listing portals.
  • Experience with data entry and management, maintaining high accuracy and attention to detail.
  • Exceptional organizational abilities with a knack for multitasking and prioritizing in a busy environment.
