SUMMARY

The Sponsor Relations Manager plays a vital role in ensuring the successful execution and fulfillment of all sponsor and exhibitor benefits. This position works closely with the Director of Sponsor Relations to build and maintain strong relationships with our valued partners. The Manager serves as the primary point of contact, communicating all relevant details, deadlines, and critical information in a timely and professional manner.

To excel in this role, the ideal candidate must possess exceptional customer service skills and a genuine commitment to delivering outstanding experiences. Strong organizational abilities and the capacity to multitask effectively are essential. The position requires an individual who is self-motivated, able to take initiative, and collaborate seamlessly with cross-functional teams.

Excellent verbal and written communication skills are paramount, as the Manager will represent the organization through frequent correspondence and interactions with sponsors and exhibitors. Meticulous attention to detail is crucial to ensure accuracy and consistency in all communications and deliverables.

Overall, this role demands a highly organized, customer-centric professional who can effectively manage multiple priorities while delivering exceptional service to our valued partners.

Essential Duties and Responsibilities

The primary responsibilities include, but are not limited to:

  • Providing exceptional customer service to sponsors and exhibitors by fulfilling all promised benefits with professionalism and attention to detail.
  • Effectively managing communication channels and proactively sharing important deadlines, instructions, and updates with all event sponsors and exhibitors, keeping them fully informed throughout the entire process, from registration to post-event follow-up.
  • Collaborating closely with the Director of Sponsor Relations to ensure adherence to established timelines and the seamless coordination of all sponsor and exhibitor-related activities.
  • Partnering with the Senior Design & Marketing Manager to understand and implement artwork submission guidelines, ensuring that logos, advertisements, and other marketing materials are received in the correct format and within specified deadlines.
  • Maintaining up-to-date and accurate sponsor recognition on the organization's website, working in close coordination with the Senior Design & Marketing Manager.
  • Demonstrating exceptional proofreading skills and attention to detail when reviewing website content, e-promotions, and printed event collateral.
  • Proficiently utilizing online form builders to streamline sponsor and exhibitor registration processes and gather relevant information efficiently.
  • Leveraging cloud-based survey platforms, such as SurveyMonkey, to facilitate post-event communication and data collection.
  • Assisting in the preparation of exhibitor materials and on-site support during events as needed.
  • Managing database responsibilities, including reporting, invoicing, list formation, and the creation of event discount codes.
  • Contributing to the preparation of comprehensive post-event reports for sponsors, providing valuable insights and data analysis.
  • Collaborating with the Customer Service Manager to ensure accurate and timely entry of table guests, booth attendees, and complimentary registrations into the database.
  • Provide support as needed for international board trip preparation.

The Sponsor Relations Manager must be adaptable and willing to take on additional duties as assigned to support the overall success of the organization's events and initiatives.

SUPERVISORY RESPONSIBILITIES

This position has no direct supervisory responsibilities.

QUALIFICATIONS

To perform this job successfully, the employee must be able to perform each essential duty satisfactorily.

EDUCATION AND/OR EXPERIENCE

Applicant must be a college graduate or possess equivalent experience and have a minimum of three years of relevant experience. Must have exceptional organizational, planning, and multitasking skills; superior verbal and written communication skills; and proficiency in managing multiple priorities simultaneously.

LANGUAGE SKILLS:

Ability to read, analyze and interpret general business periodicals and professional journals. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS

Employee must have a valid driver’s license.

OTHER SKILLS AND ABILITIES

The ideal candidate should possess proficient computer skills, including but not limited to:

  • Expertise in email communication and management
  • Strong command of internet research and navigation
  • Ability to create, organize, and analyze data using spreadsheet software
  • Experience working with databases and extracting relevant information
  • Familiarity with online form builders and their effective utilization
  • Proficiency in cloud-based survey platforms for data collection and analysis
  • Comprehensive knowledge of the Microsoft Office suite, including Word, Excel, PowerPoint, and Outlook.
  • Basic knowledge of Adobe products including Acrobat, Photoshop, and Illustrator.

Candidates should demonstrate a high level of computer literacy and be comfortable working in a technology-driven environment, adapting to new software and systems as required. The ability to quickly learn and apply new computer skills is essential in this role, ensuring efficient execution of tasks and seamless collaboration with cross-functional teams.

PHYSICAL DEMANDS

The physical demands of this position require the ability to lift a maximum of 50 lbs. and be able to sit, stand, and/or walk for long periods of time. On occasion, must be able to work days of up to 14 hours.
