Position Summary

The CE Project Administrator is responsible for the scheduling and dispatching of service field technicians, handle client requests, attend project meetings, create service orders and technician schedules, obtain vendor part lists for repair quotes, create repair/recurring service quotes, obtain purchase orders or payments for scheduled services.

Essential Job Functions

  • Schedule technicians with varied skill sets across several territories for service orders.
  • Following up on client requests via professional email or phone interaction in a timely manner.
  • Setup and attend project meetings for both customers and project technicians pre and post jobs.
  • Data entry of job orders, agreements, recurring tasks and assignments, including but not limited to, pre-scheduled routine service orders and emergency service work-in requests.
  • Maintain/update/validate job statuses, order updates, system notes, and various progress reports.
  • Monitor technician requests for service parts, release part order requests to purchasing, and track part fulfillment.
  • Quoting client service repair/project requests.
  • Obtain satisfactory payment approvals, purchase orders, credit cards, signatures, etc.
  • Obtain customer credit applications and account billing information on new accounts.
  • Ability to map routes in various territories for technician efficiency.
  • Communicate as required with field personnel, sales reps, regional managers and all Support Center staff.
  • Work in unison with the schedule coordinator team and be an alternate in the event of an absence in one of the other schedule coordinator positions/regions.
  • Assist internal teams and departments as required.
  • Special assignments as requested by supervisor.

Physical Demands

  • Ability to sit for extended periods of time in an office setting.

Position Type/Expected Hours of Work

  • This is a full-time position. Hours of work are Monday-Friday 8am to 5pm unless assigned to a region in the western US which requires 9am to 6pm.

Qualifications

  • Prior experience with scheduling field technicians and/or dispatching and/or project management.
  • Ability to work in fast paced environment.
  • Ability to multi-task while staying focused, able to work independently.
  • Organized, attentive to detail, accurate and accountable.
  • Good communication skills.
  • Self-motivated, dependable team player with positive attitude.
  • Basic computer skills with a working knowledge of Microsoft Office Applications (Word, Excel, Outlook).
  • Type greater than 35+ wpm.
