POSITION SUMMARY

Provides secretarial and administrative support to Case Management Department staff by coordinating meetings, assists in the development of processes to improve timeliness and ensure accuracy of health assessment related documents, prepares reports, maintain logs and inventory of office supplies inventory.

 

COMPLIANCE WITH REGULATIONS

Works closely with all necessary departments to ensure that utilization management processes, programs and services are accomplished in a timely and efficient manner. Works in accordance with CHG policies and procedures, and in compliance with applicable state and federal regulations, including CMS and DHCS.

 

RESPONSIBILITIES

  • Support staff meetings including but not limited to building agenda and taking minutes.
  • Conduct outreach calls as needed to members in order to gather information pertaining to health needs and follow up.
  • Conduct outreach calls to providers in order to ensure receipt of medical records, member history, and care plans.
  • Orchestrate and schedule business meetings.
  • Maintain Excel worksheets and monitor their accuracy.
  • Prepares reports and queries for use by IHA schedulers and physicians.
  • Report deviations to workflow to the Manager of Case Management.
  • Order supplies for members of the Case Management Department.
  • Type, format, and develop various documents for presentations, business letters, and health education material under the direction of the Manager of Case Management.
  • Facilitate completion of timesheets.
  • Organize, create, and maintain systems for archiving essential member information and related documents.
  • Assist in maintaining office decorum through organization of cabinet placements, boxes, etc.
  • Supports the team effort by performing other duties as assigned or requested; participating in meetings and on committees as requested; abiding by company and department policies and procedures.
  • Exhibits excellent work habits by reporting as scheduled and being ready for work at established times, returning from breaks and meal periods promptly, following safety and other company policies and procedures, maintaining a neat and orderly work area.

EDUCATION

  • Associates Degree or comparable work experience.

 

EXPERIENCE/ SKILLS

  • Three years related work experience; in health care administration preferred.
  • Ability to operate a personal computer, telephone, fax, and copier.
  • Proficiency in various computer applications including advanced word processing (i.e., merge features for labels, letters, name badges, graphic design), Microsoft Word, Excel, Access, Outlook e-mail and calendar; data entry into multiple software programs; ability to perform research on the Internet.
  • Bilingual (English/Spanish)
  • Ability to provide exemplary customer service; interface with all levels of staff and outside agencies; organize work effectively; determine priorities; detail-oriented; work independently; exercise good judgment and problem solving skills; team player; maintain confidentiality.

 

PHYSICAL REQUIREMENTS

  • Required mostly to sit, but also stand, walk, use hand to finger controls, and occasionally required to crouch or kneel.
  • Must be able to lift and/or move up to 10 pounds.
  • May require prolonged telephone use.
  • Moderate office noise level.
  • May be required to work evenings, early mornings and/or weekends
  • May required some driving within San Diego County.
