CDH is seeking a dedicated and experienced Senior Administrative Associate to support the director of CDH, Dr. Eleni Linos. This role provides high-level administrative and operational support with minimal supervision and serves as a central point of contact for coordination across Dr. Linos’ responsibilities in digital health research, academia, and leadership. The Senior Administrative Associate will oversee complex scheduling and communications, coordinate high-profile events, and oversee essential administrative functions to support the mission of the Center and the leadership responsibilities of Dr. Linos. This role requires strong organizational skills, discretion, and the ability to work independently in a fast-paced environment.

Location: Stanford Research Park and Stanford; Hybrid (4 days/week onsite).

Duties include:

  1. Serve as the primary point of contact and gatekeeper for Dr. Linos’s office, exercising discretion and independent judgment to manage access, prioritize inquiries, and facilitate critical communications.
  2. Anticipate Dr. Linos’ needs by proactively preparing background materials, data, and insights for meetings, briefings, and upcoming deadlines, ensuring she has the resources needed to make timely, informed decisions.
  3. Support Dr. Linos in strategic responsibilities across academic leadership.
  4. Act on behalf of Dr. Linos in managing priorities, coordinating schedules, and responding to inquiries, using sound judgment and a professional demeanor.
  5. Lead the organization and logistics for high-profile events, including advisory board meetings, multi-day conferences, and seminars with industry, academic, and healthcare leaders.
  6. Draft and refine presentations, reports, and correspondence to support Dr. Linos' academic and leadership responsibilities.
  7. Manage financial transactions and budgets related to Dr. Linos' projects, ensuring accuracy and timely reporting.
  8. Supervise junior administrative staff, including assigning tasks, setting deadlines, and reviewing work for quality.
  9. Provide HR support as needed, including onboarding new staff and coordinating with HR for visa and faculty affairs processes.

DESIRED QUALIFICATIONS:

  1. Experience in an academic or healthcare setting preferred.
  2. Advanced computer skills, excellent organizational and communication skills, and demonstrated success in handling complex tasks independently.
  3. Preferred: Bachelor’s degree, prior experience supporting senior executives or faculty, and familiarity with event planning.

EDUCATION & EXPERIENCE (REQUIRED):

  1. High school diploma and six years of administrative experience, or combination of education and relevant experience.

  1. Advanced computer skills and demonstrated experience with office software and email applications.
  2. Proven success in following through and completing projects.

PHYSICAL REQUIREMENTS:

  1. Constantly perform desk-based computer tasks.
  2. Frequently sitting.
  3. Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  4. Rarely twist/bend/stoop/squat, kneel/crawl.
