Position Summary:

The Operational Finance Manager will oversee financial planning, budgeting, and analysis for our ABA Therapy services, while also managing operational aspects of the organization, driving business development initiatives, and leading growth strategies. This position requires a leader who is eager and ready to learn all facets of the business and drive positive change. The candidate must have a proven ability to lead and oversee financial performance and ensure operational efficiency. Experience in Applied Behavioral Analysis (ABA) or related fields is highly valued. The role is full-time and on-site in Plano, TX.

As a key member of the leadership team, the individual in this role will collaborate closely with the CEO to drive strategic planning and execute business initiatives across all operations. This position plays a critical role in providing leadership, management, financial oversight, and strategic direction across the organization.

MAJOR DUTIES AND RESPONSIBILITIES

The Financial Planning and Operations Manager will oversee financial planning, budgeting, and analysis for our ABA Therapy services, while also managing operational aspects of the organization. This role will ensure alignment of financial and operational strategies to drive growth, efficiency, and quality of care.

Key Responsibilities:

Leadership & Strategy

  • Work closely with and present regular updates to the CEO
  • Provide strategic leadership and establish short-term/long-term goals
  • Lead business development initiatives
  • Implement disciplined process for meetings and tracking of action items/deliverables

Financial Management

  • Oversee financial operations (budgeting, forecasting, revenue cycle management)
  • Liaise with outsourced accounting teams, banks, and loan officers
  • Develop and implement financial strategies
  • Ensure compliance with financial regulations
  • Oversee financial reporting, analysis, and planning
  • Responsible for tax management
  • Implements and oversees controls

Operational Excellence

  • Improve operational systems, processes, and policies
  • Manage operations across departments to achieve business goals
  • Drive revenue growth and operational excellence through efficient patient scheduling, staff productivity, and receivables management
  • Establish and monitor policies and procedures
  • Ensure accurate and timely billing, insurance claims, and payment processing

Business Development

  • Identify and pursue new business opportunities
  • Develop and maintain relationships with key stakeholders (insurance providers, healthcare organizations, etc.)
  • Conduct market research and analyze competitor data
  • Collaborate with marketing team to develop and implement business development strategies
  • Evaluate and recommend new service lines or expansions
  • Developes and uses KPIs to manage teams to meet business goals.

Growth Strategy

  • Develop and implement growth strategies to expand services and locations
  • Conduct market analysis and feasibility studies
  • Identify and pursue opportunities for expansion (new markets, services, or partnerships)
  • Collaborate with leadership to develop and execute growth plans
  • Monitor and report on growth metrics (revenue, patient acquisition, etc.)

People Management

  • Manage, train, mentor, and appraise direct reports
  • Lead by example and provide support/guidance
  • Oversee talent acquisition, staff development, and performance evaluation

Compensation Planning

  • Develop, implement, and manage compensation and benefits programs and employee reviews
  • Conduct market research and analyze competitor data
  • Ensure compliance with regulatory requirements
  • Collaborate with HR to design and administer incentive programs

IT and Systems

  • Ensure IT systems and infrastructure support operational needs
  • Implement controls and procedures to ensure data security and integrity
  • Oversee system reconciliations and ensure accuracy

Asset Management

  • Oversee real estate, leases, and facilities management
  • Ensure compliance with lease agreements and facility regulations
  • Conduct site selection and feasibility analysis for new locations
  • Manage vendor relationships and contracts

Risk Mitigation

  • Collaborate with insurance brokers to ensure adequate coverage
  • Develop and implement risk management policies and procedures
  • Establish and monitor key performance indicators (KPIs)
  • Implement technology solutions to mitigate risk
  • Conduct due diligence on potential partnerships or acquisitions

Special Projects

  • Support the owner, directors, and team members with special projects
  • Monitor billing practices and identify areas for improvement
  • Assist with payroll preparation and processing
  • Process 401k and HSA contributions

ABA-Specific Responsibilities

  • Understand and manage Medicaid, insurance, and private pay revenue streams
  • Collaborate with clinical teams to ensure accurate authorization and documentation
  • Analyze and optimize staff productivity, utilization, and scheduling

Compliance and Risk Management

  • Ensure compliance with HR policies, federal and state regulations
  • Maintain proper HR documentation, filing, and maintenance
  • Assist with employee relations, counseling, and disciplinary procedures

Requirements:

  • Bachelor's degree in finance, accounting, business administration, or related field (Master's preferred)
  • 5+ years of executive-level experience in healthcare or related industry
  • Strong financial acumen, leadership, and communication skills
  • Experience in managing cross-functional teams and driving operational improvements
  • Familiarity with electronic medical records (EMRs) and billing systems

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:30 p.m.

TRAVEL

Travel (if any) is minimal and primarily local during the business day.

PREFERRED EDUCATION AND EXPERIENCE

  • Master's degree in Finance or Business Administration preferred.

  • A minimum of five years of finance/business administration experience OR any similar combination of education and experience preferred

  • Experience in medical/behavioral/mental health/therapy-related organization preferred
