This role requires extensive knowledge of executive operations, policies, practices, and personnel, along with a high level of discretion, diplomacy, and professionalism with wide latitude for independent judgment.Depth & Scope:Provides diversified administrative support to the Senior ExecutiveAssures timely and confidential dissemination of material and the confidential destruction of materialsEnsures arrangements for meeting facilities and catering are well executedSupports the addressing of Customer / Colleague concerns directed at the Senior Executive and ensures they are routed to the appropriate person for resolutionMay personally represent the Senior Executive through experienced and polished interaction leaving an elevated professional image with Customers / ColleaguesPlans and implements special events for Senior Executives including multi-day activitiesEnsures travel preferences, accommodations, meetings and agendas and care of guests are delivered without incident for small to large groupsWorks with external vendors and service providers to ensure consistent high-quality function supportEnsures the Executive's complex itinerary is accommodated through detailed travel arrangements coordinating demanding schedulesEnsures own work is in compliance with applicable laws, regulations and guidelines, as detailed in policies located on Company intranet; policies include but are not limited to Fair Lending, Know Your Customer, Bank Secrecy Act and other applicable anti-money-laundering policiesProvides desktop support specific to department tools and software applications, assisting users and coordinating issues before escalating to technology staffReviews industry-related bulletins, notices, and other types of communications and analyzes impacts as assigned, keeping Manager updatedDevelops plans for any necessary procedural changes and distributes relevant materials to affected staffManages, reviews, and approves the expenses of the senior executive and their direct reports as neededEducation & Experience:High School diploma5+ Years of related experienceExceptional interpersonal and communication skills, both written and verbal, requiredAbility to work directly with senior level executives and across all levels of the organizationProject management skills preferred and must be flexible with ability to multi-task and prioritizeAbility to remain poised, professional and composed at all times and make independent decisions using good business judgment in a fast paced environmentKnowledge of Company organization, terminology and operations preferredAbility to work independently without direct daily supervisionExceptional Customer orientation and service delivery skillsProven organizational and administrative skillsPC skills including proficiently with spreadsheets, reporting tools and presentation software and software applicationsPhysical Requirements:Domestic Travel OccasionalInternational Travel NeverPerforming sedentary work ContinuousPerforming multiple tasks ContinuousOperating standard office equipment - ContinuousResponding quickly to sounds OccasionalSitting ContinuousStanding OccasionalWalking OccasionalMoving safely in confined spaces OccasionalLifting/Carrying (under 25 lbs.)
