Research Administrator Job Code: 82343BR Job Summary We are seeking a detail-oriented Research Administrator to join our dynamic Finance Team in the Department of Psychiatry and Behavioral Sciences. In this position, you will take the lead in the Other Support (OS) process, collaborating closely with researchers, faculty, and the Post-Award team to ensure the timely, accurate, and compliant management of grant applications and progress reports. You will manage the gathering, review, and submission of OS documents, ensuring they meet the specific requirements of external funding agencies, particularly the National Institutes of Health (NIH), as well as institutional guidelines. This role demands a highly organized individual who is proactive, solution-oriented, and comfortable working in a fast-paced environment. You will be responsible for maintaining tracking systems, coordinating submission timelines, and ensuring seamless processes that directly contribute to the success of grant applications and the overall administration of research funding. You will also represent DPBS as the primary financial subject-matter specialist for the JPA (Joint Personnel Agreements) program. As our JPA coordinator and liaison, you will be an integral part of UCSF's collaborative and high-profile program with the Veteran's Administration (VA), working closely with various teams inside and outside of UCSF, including the VA Faculty, NCIRE organization, and other UCSF offices. Your main responsibilities will be to create and obtain signatures for contractual documents, advise faculty and their teams, and oversee the overall processing of the JPA projects. Other financial support projects will be part of this role, with the assignment interface to the Director of Finance & Administration. This is a nice opportunity to work directly with Finance Leadership and learn more about the full workings of such a large and uniquely dynamic Department. You will rely on strong communication skills to interact with all client groups: staff, PIs, and Department Leadership. The candidate will successfully research, interpret, and apply all applicable Departmental and University policies and regulations with minimal supervision and oversight to the daily work processing model. This position requires a high level of ethics and professional standards to handle sensitive matters with tact and sound judgment. This is a hybrid-remote position, which includes a combination of on-site (Wednesday & Thursday) and remote work (Monday, Tuesday & Friday). Required Qualifications Bachelor's degree in related area and minimum one year of experience or equivalent experience/training. Writing skills to draft persuasive text for a variety of audiences. Demonstrated interpersonal skills at all levels within the unit; excellent service orientation and critical thinking skills; and attention to detail. Demonstrated ability to effectively present information verbally and in writing clearly and concisely. Ability to communicate effectively with a diverse group of team representatives. Ability to organize effectively and adapt to changing priorities. Ability to function as a member of a team. Ability to gather reasonably retrievable information to organize and perform basic financial analysis assignments. Ability to manage a high volume of transactions. Must work under deadline-driven projects. Preferred Qualifications Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles. Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management, and financial reports. Knowledge of grant funding processes, procedures, and techniques.
