Job Purpose: To provide leadership and management to assigned Operations Coordinators (direct reports), while also providing support to assigned branch as needed. The Lead Operations Coordinator plays a key part in the daily and weekly administrative functions for the Company process. Each Operations Coordinator will work with their assigned Branch Managers, recruiters, sales representatives, and field associates. In this role the Lead Operations Coordinator will ensure the smooth operation of the branch and daily recruiting and business operations. They are the liaison between the field (sales & recruiting) and the back office (finance & risk).


Responsible for


DUTIES:

  • Oversee the daily activities of assigned Operations Coordinator I and II positions to ensure duties are being executed at the expected level of accuracy and turnaround time.
  • Provide extra training, support, guidance, and coaching to Operations Coordinator team.
  • Coordinate workflow among assigned Operations Coordinators and determine back-ups for each team member to perform duties in their absence. Coordinate proper cross training for assigned back-ups so that workflow is not interrupted when team members are absent.
  • Track and report employee misconduct, rule violation, or poor performance.
  • Send, review, approve and process new hire onboarding paperwork, including offer letters, Direct Deposit information, and completing section 2 of the I9 and e-verify.
  • Process necessary background checks and drug tests required for jobs.
  • Collect, save, and process weekly timecard entry and approval process, including expenses, per diem, and sick time as needed for payout every Friday.
  • Work in close communication with Branch Managers, Recruiters, Field associates, HR, Payroll, and Billing teams.
  • Provide timecard and billing adjustment as needed to ensure proper payout and invoicing.
  • First point of contact for trouble shooting any onboarding or payroll issues.
  • Work with each recruiting team on ensuring job boards are up to date.
  • Assist recruiters with tracking candidates in VMS exchanges as well as tracking employee certifications to ensure they are active.
  • Assist with ordering, scheduling, and administering required employee remote and onsite trainings during the onboarding process.
  • Contribute to front of the office duties as needed per office.

  • Always Represent the company in a professional manner ensuring quality customer service.
  • Abide by all policies, rules, and regulations of The Company and our clients including all applicable rules, regulations, and procedures.
  • Support corporate programs, goals, and initiatives of the company.
  • Work overtime as needed.

PHYSICAL REQUIREMENTS:

The Lead Operations Coordinator generally works in an office environment and do not have specific physical demands beyond those typical of an office setting. However, the job may occasionally require:

  • Sitting for extended periods while working on a computer.
  • Using standard office equipment, including computers, phones, and printers.
  • Lifting and carrying light objects, such as paperwork or recruitment materials.


ATTENDANCE REQUIREMENTS: Attendance on a regular, consistent basis is mandatory including arriving at the time scheduled by your supervisor daily and providing adequate notice for requesting PTO.
