About us:In 2016, the Commonwealth of Virginia selected a Cintra-led consortium to finance, design, build, operate and maintain the express lanes on Interstate 66 Outside the Beltway. The project will transform this critical Northern Virginia artery to relieve congestion, improve safety and provide more predictable travel times. The project corridor extends approximately 22 miles along Interstate 66 from the Capital Beltway (I-495) to Gainesville (US Route 29). Once completed, the project will include three toll-free general-purpose lanes in each direction and two express lanes in each direction with a state-of-the-art open-road electronic toll collection system. Expanded transit service, park-and-ride lots and interchange enhancements will further improve travel along I-66. The project will also connect several shared use paths to create more multimodal options. As an innovative and efficient public-private partnership, this project will be completed at a $2.5 billion net savings for the Commonwealth of Virginia.

Job Description:
Job Summary: The Court Clerk plays a vital role in ensuring the efficient operation of court-related processes within the Customer Service and legal department. This position is responsible for managing pre-court settlements, preparing docket packages, reconciling court outcomes with customer billing systems, and providing critical support to both customers and legal teams.
Essential Duties and Responsibilities:
1. Pre-Court Settlements: - Settlement Negotiation: Engage with customers and legal representatives to negotiate settlements before cases reach court. This includes discussing payment plans, resolving disputes, and finding mutually agreeable solutions to avoid litigation. - Documentation: Accurately document all pre-court settlements, including terms of the agreement and any payment arrangements made, ensuring these are reflected in the Customer Billing Office (CBO) system. - Follow-Up: Monitor compliance with pre-court settlements and take further action, such as initiating court proceedings if settlements are not honored.
2. Pre-Court Communications: - Notification: Send out pre-court notices to customers, informing them of impending court actions, timelines, potential outcomes, and steps they can take to avoid court. - Customer Assistance: Assist customers by answering questions, explaining their options, and guiding them through the settlement process or court preparation. - Coordination with Legal Teams: Ensure all communications are consistent, legally compliant, and timely, working closely with internal and external legal teams.
3. Court and CBO Reconciliation: - Case Updates: Update the CBO system with the outcomes of court cases, including judgments, payment plans, and any other court-mandated actions. - Financial Reconciliation: Reconcile court orders or settlements with customer accounts in the CBO, ensuring accuracy in financial records. - Discrepancy Management: Address and correct any discrepancies between court outcomes and CBO records.
4. Docket Preparation: - Case Management: Compile and organize cases scheduled for court, creating a detailed docket listing each case, its status, and relevant documentation. - Document Preparation: Ensure all necessary documents, including case histories, customer communications, and financial records, are prepared and available for each case on the docket. - Legal Compliance: Verify compliance with legal requirements and ensure timely filing of all necessary paperwork.
5. Daily and Weekly Reporting: - Daily Updates: Provide daily reports on court-related activities, including the status of pre-court settlements, docket updates, and new cases. - Weekly Reports: Compile weekly summaries of court activities, including the number of cases handled, settlement rates, court outcomes, and any arising issues. - Performance Metrics: Track and report key performance indicators (KPIs) related to court activities, such as settlement success rates and compliance with court orders.
6. Weekly Meetings with Management: - Docket Review: Lead weekly meetings with management to review the upcoming court docket, discussing case statuses, potential challenges, and resolution strategies. - Strategic Planning: Collaborate with management to develop strategies for handling difficult cases, improving settlement rates, and streamlining court processes. - Feedback Loop: Communicate updates and feedback from these meetings to the broader team, ensuring alignment on weekly goals and important changes.
Qualifications:
Education: High school diploma or equivalent; an associate or bachelor's degree in legal studies, business administration, or a related field is preferred. - Experience: Previous experience as a court clerk, legal assistant, or in a customer service role within a legal environment is highly desirable.
Skills: - Strong organizational and time-management skills. - Excellent written and verbal communication abilities. - Proficiency in using legal and customer billing software systems. - Attention to detail and accuracy in documentation and reconciliation. - Ability to handle sensitive information with discretion and maintain confidentiality.
Work Environment: - Office Environment:
The role primarily involves working in an office environment, with standard working hours. Occasional extended hours may be required to meet court deadlines.
Court Environment: The secondary role of this position involves working in court on docket days to assist with pre-court settlements and attest to docket packages.
Collaboration: The Court Clerk will regularly interact with legal teams, customers, and management, requiring effective communication and collaboration. Physical Demands: - Standard Office Requirements: The position may require prolonged periods of sitting at a desk and working on a computer.
- Document Handling: Occasional lifting of files, paperwork, and court documents, typically not exceeding 20 pounds.
- Mobility: Ability to move within the office to retrieve documents, meet with team members, and attend meetings.
