Scope of Position:

Under close supervision provided by a Staff Services Manager I of a Reporting Unit of the Holder Operations Bureau, the incumbent will perform various functions associated with the sorting of incoming mail, scanning electronic media, batching reports, data entry and report storage and archiving process within the Unclaimed Property Division. Duties include, but are not limited to the following:

Duties and Responsibilities:
(Candidates must perform the following functions with or without reasonable accommodations.)

Track holder notice reports received and the whereabouts of each report by creating batches in the CA Notice system. Conduct simple research in CA Notice and UPS2000 to create batches. Assemble the report folder. Key holder reports and owner information from paper reports into HRS Pro software to eventually be loaded into the system and process simple electronic reports as well. During peak seasons, assist the Bureau with sorting incoming mail and the scanning of all electronic media received from holders submitting Notice or Remit reports. Set up and apply labels to the designated Archive Boxes. Confirm information on all completed reports to ensure reporting procedures are utilized by checking report years, holder information, dates, bar codes, report types, remittance amounts, statuses, signatures, and completed Quality Control Sheets. Scan and log reports to document locate them into the appropriate data base systems and prepare the Records Transfer list twice annually for sending prior report years to the State Records Center. Assist with the organization of reports in the storage drawers prior to the reports being processed by staff. Provide additional assistance as needed to address the fluctuating needs of the Section. Responsibilities include assisting with delivery of mail, locating report files from the file room, assisting with the organization of reports in the storage drawers, working on special projects involving Holder Reports from report storage, processing negative (NIL) reports, and duplication of report files or legal referrals.

Required Hours: 

Monday – Friday from 7:30am – 5:00pm

Desirable Qualifications:

Ability to interact positively with co-workers. Good organizational skills.
