Reports To: Director of the Ellis Theatre Guild

Status: Exempt, 10-month Staff


Position Summary

The Hill School is seeking a full-time Theatre Production Manager and Productions Assistant. This role is a multifaceted role that encompasses administrative duties, practical support for theatre productions, and licensing procedures under the supervision of the director/producer. The ideal candidate will be comfortable overseeing administrative tasks, assisting in various aspects of theatre productions, navigating licensing procedures, and fostering student engagement by igniting their passion for the arts.

The Theatre Production Manager and Productions Assistant plays a vital role in supporting the artistic vision of the Ellis Theatre Guild while ensuring smooth day-to-day operations and compliance with licensing requirements. With a blend of administrative expertise, practical skills, and a background in theatre, this position contributes to the success and sustainability of theatrical productions and events, while also nurturing the next generation of theatre artists through mentorship and student engagement initiatives.

Responsibilities:

Primary focus of the Theatre Production Manager and Productions Assistant includes but are not limited to the following:

Office Administration:

  • Manage day-to-day administrative tasks, including correspondence, scheduling, and document management using Microsoft Office and other related systems.
  • Maintain office supplies
  • Answer phones
  • Provide support for Theatre operations, as needed.

Ticketing Systems and Event Planning:

  • Oversees ticketing systems and box office operations, coordinating ticket sales and customer service.
  • Assist with event planning and coordination, scheduling rehearsals, performances, and special events in collaboration with the Center for the Arts (CFTA)

Licensing Procedures with Director/Producer Supervision:

  • Collaborate with the director and producer to navigate licensing procedures for theatrical productions, ensuring compliance with copyright laws and licensing agreements.
  • Research and obtain rights and permissions for scripts, music, and other creative materials used in productions, adhering to licensing requirements and restrictions.
  • Facilitate communication between the production team and licensing agencies or rights holders, addressing questions and reviewing agreements.

Artist Management and Production Meetings:

  • Keep visiting and resident artists on schedule, coordinating rehearsals, meetings, and performances.
  • Run production meetings, facilitating communication between creative teams, technical crews, and administrative staff.

Calendar Management:

  • Maintain the theatre's calendar, scheduling rehearsals, performances, meetings, and other events to avoid conflicts and maximize efficiency.

Practical Support:

  • Assist in various aspects of theatre productions, including workshops, assistant directing, stage management, theatre preseason and banquets.

Student Management and Mentorship:

  • Foster a supportive and inclusive environment for students involved in theatre productions, workshops, and events.
  • Provide mentorship and guidance to aspiring theatre enthusiasts, nurturing their passion for the arts and helping them develop their skills and confidence.
  • Encourage student involvement in all aspects of theatre production, from acting and directing to technical and administrative roles.
  • Organize educational opportunities, such as workshops, masterclasses, and mentorship programs, to further enrich students' understanding and appreciation of theatre.
  • Serve as a positive role model and advocate for the importance of theatre education in fostering creativity, empath, and critical thinking skills among students.

Other duties as assigned.

Qualifications:

  • Experience and demonstrated success working with diverse student communities.
  • A bachelor's degree in Theatre is required.
  • A familiarity with ticketing systems, event planning, and arts administration is preferred, but not required.

Knowledge and Skills:

  • Ideally, a candidate will possess excellent organizational skills and be very detailed oriented.
  • This individual must be available to work from 10am to 6pm and be flexible for evenings and weekend hours during tech week and production periods.
  • The successful candidate will be expected to complete work during academic breaks.
  • Adherence to all personnel policies, procedures and rules contained in the Employee Handbook.
  • Demonstrate flexibility as priorities and deadlines shift, juggle multiple assignments.
