Administrative Assistant II - Faculty Senate

Job Description

The Administrative Assistant II will provide administrative support for the Faculty Senate Chair. Under direct supervision, responsibilities include but are not limited to:
  • Be able to work independently and in team.
  • Timely prepare Faculty Senate meeting minutes using various technologies for transcribing while also keeping related organized files archived.
  • Track policy development through various committees, general counsel, vice presidents and their approval from the Faculty Senate and the President.
  • Maintain the Senate's web page with timely posting of meeting dates, agenda and minutes; update senate's committee information and any other information that is to be shared with college community.
  • Maintain financial record to track faculty senate travel committee expenses; prepare purchase documents; responsible for travel accounting for all chair travels including airline, auto and hotel accommodations as needed; assist in senate's budget preparation.
  • Be able to prepare, edit and maintain documents using Microsoft Office software. Learn about institutional and NSHE policies; able to provide information to faculty about CSN's policies;
  • Create and maintain complex databases and spread sheets as necessary for Senate management.
  • Order all supplies for Senate Office (using forms: RX, LPO, interdepartmental vouchers).
  • Reserve rooms each year for the Faculty Senate meetings.
  • Be able to travel between campuses up to 4 times per semester.
  • Be able to carry large amounts of documents (up to 50 pounds) to different campuses for the meetings.
OTHER ASSOCIATED FACTORS:
  • This person will reside on the Executive floor of the CSN and must be able to work with executive assistants of various departments.
  • As the Senate Chair changes each year it is important for this position to be able to coordinate the yearly change of Faculty Senate Chair including transition paperwork, name tags, business cards, etc.
Minimum Qualifications:
  • Graduation from high school OR equivalent education and one year of clerical experience which included experience in one or more of the following areas: maintaining records, answering telephones, and reviewing forms, documents and other written materials; OR six months of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.
Preferred Qualifications:
  • Experience with Workday, Peoplesoft/MyCSN.
  • Proficiency in Microsoft Office, Specifically Word, Excel, and Outlook.
  • Organizational and time management skills.
Starting Salary

Grade 25, Step 1 $38,419.20

Per Nevada Administrative Code (NAC , salaries for initial appointments for classified positions typically begin at Step 1.
