Scope of Position

This position serves as a key component of the administrative operations of the OSUWMC East Hospital Administrative Office. The Executive Office Supervisor works under minimal supervision and is responsible for the efficient operations and professional image of the Administration office of East Hospital. In addition, this position serves as an Executive Assistant within the East Hospital Administrative Suite, providing administrative support members of Senior Administrative Team. This position will be responsible for providing supervision of assigned clerical support staff, including Administrative Assistants, Office Associates and/or student interns and assistants.

Position Summary

The Executive Office Supervisor will oversee the daily administrative activities of the administrative suite. Acts as a key player in departmental decision-making relative to staff and/or operational issues. Provides support to assigned Administrators including – coordinating calendars; travel plans and reimbursements; plans and schedules professional meetings and conferences; communicates with nurses, physicians and other health care workers; establishes and maintains files; answers phones and inquiries; performs complex and confidential secretarial duties; submits PO's for nursing and administration; organizes meetings by preparing agendas, documents, and minutes; serves as a liaison with staff, administrators, and vendors; initiates and follows up on correspondence; writes or edits letters, reports; coordinates and communicates materials and information in regards to Nurse Manager meetings; opens and delivers mail; provides patient services support; coordinates access for nursing.

Minimum Required Qualifications

  • Bachelor's degree or equivalent experience.
  • 3 years of relevant experience required.
  • This position will require a person with sound judgment, the ability to prioritize, the ability to delegate, supervise, evaluate and manage people.
  • This position requires the ability to define problems, collect data, establish facts, draw conclusions and recommend appropriate action.
  • Six months experience (600 hours training) using computers to generate a variety of materials ranging from basic to complex; 6 months experience (600 hours course work) in office practices and procedures; 6 months experience (600 hours course work) in customer service or equivalent combination of education and experience. Excellent typing and dictation skills. Experience with medical terminology preferred. Requires successful completion of a background check. Selected candidate may be requested to complete a pre-employment physical including a drug screen.
  • Experience in a leadership/managerial capacity, or an equivalent combination of education and experience preferred.
