Under the direction of the Director of Operations, the Facilities Manager is responsible for day-to-day facilities management. Position will promote and adhere to our core capabilities of accountability, customer focus, continuous quality improvement, communication, competent people, and clear priorities. All work to be completed with minimum supervision and in accordance with organizational standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. The organization reserves the right to add to, delete, change, or modify the essential duties and responsibilities at any time.

Facility Operations:

  1. Manage day-to-day facilities to ensure a safe and efficient work environment in all organizational facilities. Work with operations management and administrative staff to support general business operations.
  2. Ensure compliance with facility leases, contracts and collective bargaining agreement. Receive and respond to employee facilities service requests.
  3. Coordinate physical moves, additions, and personnel changes.
  4. Anticipate and coordinate space planning needs, develop budget and schedule for facilities replated projects.
  5. Ensure facilities operations expenses are within annual operating budget and provide updates on projected surplus or shortages. Provide facilities related expense guidance for other departments and assist in program project budgets. Serve as facilities and workplace environment advisor to program and operations departments.
  6. Attend and participate internal career development training and industry related continuing education.

Maintenance, Repairs, Cleaning and Supplies Management:

  1. Conduct maintenance and repair walkthroughs and complete minor repairs, or coordinate resources and service providers when necessary.
  2. Ensure cleaning, sanitation and general maintenance tasks are completed timely and according to service level agreements. Ensure supplies are kept at appropriate inventory levels. Manage and direct cleaning staff as needed. Develop and maintain facilities inventory including.

Safety and Security:

  1. Coordinate incident reporting and ensure OSHA, ADA and any other applicable regulatory compliance.
  2. Assist in emergency response training and conduct simulated emergency exercises, including evacuation and shelter in place drills.
  3. Administer security, video surveillance and access control systems. Maintain access control profiles, keycards, and hard key inventory. Conduct security and safety assessments and walkthroughs. Manage security staff scheduling.

Policies and Procedures:

  1. Ensure awareness and compliance to organizational policies and procedures.
  2. Administer document management system, users and updates as directed. Review and propose updates to policies as needed, coordinate approval with appropriate personnel, and publish updates to shared document management system.

Other duties and responsibilities:

  1. Use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Salesforce in the completion of tasks and projects as assigned.
  2. Independently work on multiple tasks effectively in support of department
  3. Execute our workplace core capabilities of: accountability, customer focus, continuous quality improvement (CQI), communication, competent people and clear priorities.
  4. The organization may assign other functions to the job at its discretion.

SUPERVISORY RESPONSIBILITIES

Include but are not limited to the following: supervise staff in facilities management, cleaning, maintenance and security. Perform employee evaluations and make hiring decisions. May direct and supervise contracted personnel (contracted service vendors, cleaning, security and maintenance vendors, and other subcontractors) outside of the organization.
