ORGANIZATIONAL SUMMARY:

The mission of USF Health is to envision and implement the future of health. It is the partnership of the University of South Florida Morsani College of Medicine, the College of Nursing, the College of Public Health, the Taneja College of Pharmacy, the School of Biomedical Sciences, the School of Physical Therapy and Rehabilitation Sciences, and the USF Physicians Group. USF is a global research university ranked 34th in federal research expenditures for public universities.

The USF Health Libraries (Shimberg Health Sciences Library and Florida Blue Health Knowledge Exchange) provide library and information services to students, faculty, and staff at USF Health. The library also provides these services to affiliated hospitals, area health professionals and providers, and members of the community.

POSITION SUMMARY:

Operates the Library Services Desk at the Shimberg Health Sciences Library during weekday daytime hours, assisting patrons in the use of the library and its resources. Serves as one of the Shimberg Library Passport Application Acceptance Agents, coordinates communications with passport applicants and prepares passport reports. Monitors ILLiad system and does initial processing of new book & article requests. May be asked to provide weekend and/or evening coverage in the event of staffing shortage.

RESPONSIBILITIES:

Library Services Desk operations. Includes answering the phone and greeting visitors; assisting patrons in their use of library resources and technology; helping to troubleshoot online access problems; checking out and checking in books, reserve items and group study rooms; and maintaining the stacks. Includes coordinating activities for student workers. Maintains statistical records of patron interactions. Assists with maintenance and updates to patron lists, Access Services procedures, and library web pages. Observes and reports any security problems, emergencies, or damage to library administration and/or University Police. Provides backup coverage as needed, including shifts at Florida Blue Health Knowledge Exchange, and potential night and weekend shifts (which include controlled access procedures and closing procedures).

Under the direction of Library Specialist (position , assists with initial triage of incoming interlibrary loan and document delivery requests from library patrons. Includes confirming patron eligibility, determining billing status, researching/correcting citations using library databases, confirming copyright clearance, completing some requests and properly routing others. Requires use of integrated library system, resource sharing management software, library databases and catalog. Complex workflow requiring significant attention to detail, and correspondence with patrons (faculty, staff, resident/fellow, and student) regarding their requests. Receives incoming ILL loan materials.

Obtains and maintains certification as US Passport Acceptance Agent. Accepts US passport applications prior to forwarding to the US State Department for processing. Duties may include preparing applications for mailing, preparing daily/weekly deposit information, ordering forms, tracking applications in transit to the National Passport Processing Center, and downloading documents from the Miami Passport Agency or the U.S. Department of State for use by our agents. Will also work with the USF Health Post Office staff to maintain postal supplies for the passport application acceptance operation.

Monitors integrated library system for patron notices daily overdue notices to patrons, and processing of morning UBorrow lending requests.

Manages Shimberg Health Science Library opening procedures Monday through Friday.

Assists with special projects (cataloging/collections/etc.). Other library clerical and operational support duties as needed.

POSITION QUALIFICATIONS:

MINIMUM:

This position requires a high school diploma and four years of experience in a customer service environment. Appropriate college coursework may substitute for the required experience.

PREFERRED:

Familiarity with Integrated library systems used for loaning and returning library materials including reserve items (Circulation module) and processing UBorrow lending and borrowing requests (ILL module). The position also requires familiarity with Web browsers (Used to access library catalog and databases and to research citation information, among many other uses), Microsoft Office (Used for email, word processing, spreadsheets, etc.), and ILLiad (a resource sharing management software used to process incoming ILL and document delivery requests).
