Position Summary:

Under the direct supervision of the Executive Director of Experiential Education (EDEE) and working collaboratively with the Director of Experiential Education (DEE), Director of Enrollment & Admissions (DEA), and Director of Student Affairs (DSA), the EEOC will be mainly responsible for recruitment and retention of preceptors, communication with preceptors, quality assurance of experiential sites, and outreach. In addition, the EEOC will help with rotation scheduling, student engagement, and general administrative support for the Office of Experiential Education (OEE). This is a full-time, exempt status position located in person at the Charleston, WV campus.

Essential Responsibilities:

Rotation Scheduling Support – Creation and Management
Assistance with the match/spin process
Assist with management of rotation change requests
Site Maintenance Support – Affiliation Agreements and Onboarding
Execution of affiliation agreements
Renewal/revision of affiliation agreements
Determination of site-specific student onboarding requirements
Verification and record-keeping of student onboarding requirements
Quality Assurance (Preceptor/ Site) Support
Complete individual meetings with students to assess sites and preceptors
Assist with experiential site visits to ensure quality of experience for both students and preceptors
Other reports for purposes of quality assurance/quality improvement
Online System Maintenance Support
Assist with maintenance of online management system for experiential education
Recruitment/Retention of Preceptors Support
Work collaboratively with DEA and DSA to create or assist with marketing strategies for recruitment of sites, preceptors, and students
Identification of prospective sites/preceptors
Communicate with preceptors
Establishment/maintenance of collaborative preceptor relationships
Outreach Ambassador for the School of Pharmacy
Communicate with and maintain professional collaborations with outside stakeholders and partners
Work with DSA, DEA, or appropriate stakeholders to establish events (community outreach and student organization events) and activities with partners
General Administrative Support
Communication with administrative support for completion of requisitions, purchase orders, rotation payments, and reimbursements
Recording of office meeting minutes and dissemination of correspondence at the direction of the EDEE
Preparation of sensitive office communications

General Expectations
Effective communication with students, faculty, staff, and preceptors
Demonstration of excellent interpersonal and organizational skills, attention to detail, tact, and diplomacy
Demonstration of a high level of enthusiasm and the ability to take initiative, multi-task, and work independently and as a team member in a fast-paced challenging environment.
Accessing and handling sensitive and confidential student information in adherence to student confidentiality policies and procedures
Travel to current or prospective experiential sites for quality assurance and outreach

Qualifications:

Bachelor's degree or at least five years of professional work experience
2 years of administrative support or experience in an office setting, preferably within the education or healthcare-related fields
Maintain driver's license and vehicle for site visits (travel reimbursement provided)
Familiarity with Mac products
Proficient with Microsoft Office Suite (e.g., Outlook, Word, Excel)
Ability to quickly learn new systems and software as needed
Excellent organizational skills
Excellent communication skills – written and oral
Ability to maintain confidentiality (e.g., student information – FERPA, sensitive matters in executive
offices)

The ability to work well as a team member with ALL levels of personnel, internally and externally.
