Assistant Dean for Finance

Reporting to the Associate Dean for Finance and Administration, this position would lead the Business Office, ensuring the efficient day-to-day operations of the office as well as helping the Associate Dean develop and implement strategic plans that shape the office's and the broader faculty community's business. This role oversees positions responsible for all financial and budget oversight within the office. This includes implementing budgets for all fund sources, tracking actuals activity against these budgets and modeling forecasts of future spend. Additionally, the office develops and publishes new policies, changes existing policies when necessary and ensures compliance to these policies. Further, the office is responsible for a large range of administrative tasks related to the financial processes of the office. Specific areas of involvement include assisting in the financial elements of offers to potential new faculty and retention offers to existing faculty, the tracking and funding of all ODOF financial commitments, administration of the faculty salary review process, and reviewing requests for reimbursement under various ODOF policies. Demonstrated skill and attention to detail at the transactional level is crucial to the role, as is the ability to take this transactional knowledge and apply it through critical thinking and analysis to set strategy. Proven ability to document existing processes and improve on them, either through incremental improvement or wholesale change, is a requirement.

The review of applications will begin immediately with priority given to applications received by December 15th.

Strategic Planning, Leadership & Supervision (40%)

● Set the strategic vision for the financial operations within the office; monitor and report progress toward strategic goals and objectives.
● Lead comprehensive department strategy to ensure the effective use of resources (budget) and the assessment of services, programs, and utilization of resources.
● Manage and supervise the business office team. Oversee strategic planning and goal setting for the team, and provide guidance to ensure that goals are met.
● Manage continuous process assessment/improvement efforts in the business office to ensure efficient and effective operations and stakeholder relations.
● Establish and maintain relationships with a wide range of campus stakeholders and units (Finance & Treasury, Academic Departments, etc.) to advance the agenda of the Office of the Dean of the Faculty.
● Serve on and/or lead committees and task force groups to design, implement, and evaluate business processes.
● Serve as an active member of the Dean's Council, providing overall leadership to the Office of the Dean of the Faculty.

Finance (35%)

● Perform account reconciliations and journal entries as necessary.
● Track budgetary performance and reforecasts on a monthly basis.
● Ensure compliance with University financial policies and protocols.
● Lead departmental budget submission.
● Manage program for honorific fellowship top-up funding program.
● Manage process for all faculty overrides and other additional payments.
● Lead fiscal-year end close process.
● Oversee financial aspects of search authorization process.
● Manage aspects of faculty salaries, including reviewing and approving summer salary requests and other payment requests.
● Lead annual salary increase process, including working with multiple campus partners on its execution.
● Manage university's faculty commitment database which tracks all financial commitments to faculty.
● Other financial duties as assigned.

Reporting & Analysis (25%)

● Create narrative reports and presentations for senior leadership and various campus audiences to identify and demonstrate key financial data.
● Use data to drive decision-making with an eye toward continuous improvement.
● Create and maintain various financial reports including a broad range of reporting used to measure performance against budget as well as development of reports to answer ad-hoc questions from all levels of the university.
● Create financial models to answer a range of questions, including current and potential future spend on endowed funds and the ability to fund strategic initiatives out of currently available resources, among others.

Requirements/Qualifications

  • Bachelor's degree required; advanced degree preferred.
  • High levels of resourcefulness, influence/organizational savvy, and ability to see projects through to completion
  • Excellent interpersonal skills: ability to build effective relationships with partners across the organization, institution and peer institutions
  • Strong written and oral communication skills
  • Strong analytical and problem-solving skills; strong attention to detail, ability to work with quantitative
  • Ability to conduct research, gather and interpret data, and create meaningful charts, graphs and narrative reports to describe trends
  • 10 or more years of professional experience
  • A keen sense of attention to detail
  • Strong organization skills and the ability to manage multiple priorities at once
  • Ability to organize large sets of data and information, and to synthesize this data into effective reporting
  • Proven ability to improve existing processes and design new ones
  • Collaborative and creative approach to problem solving
  • Ability to manage sensitive and confidential information
  • Ability to thrive in a high-volume, fast-paced and deadline-oriented environment.
  • Advanced Microsoft Excel skills
  • Proficiency with University systems such as OnBase, IBM Cognos reporting and PeopleSoft, or their equivalents, preferred
