Position Summary

The Audiology Assistant coordinates and supports the Audiologists, hearing aid patients with their equipment repairs, and work processes for the department. The primary role is to organize the practice's daily activities as well as greet patients, schedule appointments, answer phones, confirm hearing aid benefits with health plans, process hearing aid purchase agreements and invoices, initiate equipment orders and repairs.

Key Duties & Responsibilities

Support patient scheduling, authorization, registration, financial counseling, records, front end payment collection, data entry, device invoices and cash posting for Audiology Department.Assist audiologists and physicians to assure that patient needs are met, quality standards are maintained, inventory costs are controlled, and audiologist productivity is maximized.Maintain a patient-focused customer service environment that maximizes patient, audiologist/physician, and employee satisfaction. Makes recommendations for service opportunities.Phone health plans to confirm and detail patient coverage, co-insurance and deductibles for patient purchase of hearing aids.Prepare hearing aid purchase agreements.Order and receive hearing aids for repair, track deliveries.Reconcile purchase invoices for accounts payables coding in AvidXChange.Maintain inventory of hearing aid supplies.Interact with hearing instrument manufacturers, suppliers, and equipment vendors.Perform cleaning and checks on hearing aids and amplification devices.Resolve patient complaints.Maintain and update department protocols and ensure that timely and accurate information is communicated to clinic staff.Prepare audiology productivity reports including monthly commission data.Coordinate vendor presentations.Work with administrative, billing and collections leadership in recommending practice protocols workflows for patient services.Promote Audiology marketing initiatives.Recommend initiatives related to quality, efficiency, teamwork, and customer service.Participate in department meetings.This role may provide roughly 25% operational support (reception) for Bellevue ENT.Other duties as assignedExperience, Skills and Abilities 2 years in medical office setting, preferredBackground working directly with Audiology preferredSkill in organizing, analyzing, and reporting accurate production dataPrevious background with hearing aid devices and impairment preferredAssociates or bachelor's degree preferredAbility and desire to work with a high degree of autonomyCustomer (patient) centered.Knowledge of practice operations.Ability to act as a representative of practice at all timesProblem solving skillsProfessional demeanorTeam focusedCustomer serviceENT terminology and processesData collection and presentationInsurance and billing familiaritySupport and teambuildingExperience with electronic health recordsWork Environment/Physical Demands
