Main Purpose of Job

The purpose of this position is to perform a variety of administrative, secretarial, and clerical duties of the Branch - facilitating management details for the Branch Chief and Section Chiefs of the Interagency Collaboration Branch. This individual must demonstrate good public relations skills and possess competencies in organization, data collection, and communication (verbal and written).\r

POSITION DUTIES

\r
Prepares for approval, individual correspondence as directed by supervisor and staff\r
specialists. Documents include, but are not limited to, memorandums, charts,\r
and tables (including pivot tables), emails, and Statewide reports. Examines and verifies reports\r
and correspondence for completeness, propriety, adequacy, and accuracy.\r
Proofreads draft and final copies of documents for errors in spelling, grammar,\r
punctuation, and format.\r
\r
Secure venues for meetings\r
and trainings. Implements duplication, assembly, and presentation of materials\r
for attendees.\r
\r
Manages collection and review of time-reporting\r
documents for staff, consultants, and contractors.\r
\r
Conducts research on related topics involving special\r
education services, waivers, interagency collaboration.\r
\r
Responsible for working independently on clerical\r
tasks, following oral and written instructions containing technical and\r
numerical content.\r
Answers phone inquiries from local education agencies,\r
special education directors, public agencies and parents, Autism Waiver\r
Providers, Service Coordinators, Medical Assistance Providers, and other\r
partners.��\r
Conveys\r
messages to supervisors requiring their specific attention. Exercises\r
discretion regarding what information may\r
be released or must be referred to a supervisor while maintaining\r
a high degree of discretion at all times in the securing and releasing of\r
information.\r
Contributes to maintaining database for the Autism\r
Waiver, and associated information data systems\r
including the Individual Plan of Care.�\r
Independently initiates referrals to staff Specialists\r
from parents and provides technical\r
assistance in a customer friendly\r
and efficient manner. Expedites a response to any high priority inquiry.�\r
Arrange travel and itinerary for meetings, conferences\r
and other functions as requested by supervisor\r
and staff. Proof and process,\r
leave requests, invoices, purchase orders,\r
expense reimbursements, credit card reconciliation, etc. Prepare\r
out-of-state travel requests.�\r
Develops and maintains\r
a database of frequently used contact information for individuals and pertinent\r
outside agencies for use by the Branch.��\r
Maintains mailing\r
lists and directories for Section staff,\r
local education agency personnel, committees and groups\r
that relate to the work of the Branch.\r

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate. \r
Experience: Four years performing secretarial work or clerical work involving typing duties. \r
Notes: \r
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education. \r
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience. \r
3.�Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.\r
