Position Description

The Administrative Assistant is responsible for various office tasks, including client scheduling, data management, and preparation of meeting materials. They will ensure client needs are met, and deadlines are proactively managed while supporting team members and contributing positively to our office culture.  We value individuals who are proactive about identifying and implementing process improvements that enhance team efficiency and client satisfaction. Key Responsibilities

  • Welcome clients and visitors at the reception desk
  • Enhance and maintain office workflows and processes
  • Develop and document standard operating procedures
  • Manage client scheduling and follow-up
  • Handle and direct phone calls appropriately
  • Provide administrative support, including calendar management and scheduling
  • Prepare reports, presentations, and client deliverables for meetings
  • Coordinate bulk mailings and client communications
  • Organize and maintain client files and databases
  • Stay updated on industry standards and changes, including tax law
  • Participate in ongoing education through webinars, workshops, and networking
  • Uphold strict confidentiality for all client information


Qualifications

  • Minimum two years of experience in administration, customer service, or hospitality
  • Strong attention to detail, with an ability to multitask and prioritize effectively
  • Excellent verbal and written communication skills
  • Knowledge of Microsoft Office Suite (additional software training provided on the job)
  • Strategic thinker with regard to operational efficiency, decision-making, and problem-solving skills
  • Familiarity with professional services firms or accounting (preferred)
