Position: Executive Administrative Assistant to the BDO

Schedule: Monday through Thursday, 9:00 AM – 3:00 PM (on-site)

Friday: Remote availability

Compensation: Salary based on experience, quarterly bonuses, year-end bonus, company-provided cell phone and laptop, and comprehensive benefits package

Overview:

We are seeking a proactive and detail-oriented Executive Administrative Assistant to support our Business Development Officer (BDO). This position requires exceptional organizational skills, proficiency in technology, and the ability to work independently when needed. The role involves managing schedules, tracking team commitments, and maintaining consistent communication with high-level executives and decision-makers.

Key Responsibilities:

  • Meeting Management:
  • Attend meetings, take detailed minutes, and distribute actionable summaries to relevant stakeholders.
  • Track executive team members’ commitments, deadlines, and deliverables, ensuring accountability and follow-through.
  • Schedule Coordination:
  • Manage and prioritize the BDO’s calendar, appointments, and meetings.
  • Coordinate with internal and external stakeholders to schedule key discussions and events.
  • Technology and Presentation Support:
  • Develop and maintain high-quality presentations using PowerPoint.
  • Utilize Excel for data tracking, analysis, and reporting.
  • Leverage AI tools and technologies to enhance workflows and improve productivity.
  • Communication and Outreach:
  • Serve as a reliable liaison between the BDO and decision-makers, maintaining consistent and professional communication.
  • Facilitate contact with hard-to-reach executives and key stakeholders.
  • Administrative Excellence:
  • Organize and manage files, documents, and records for quick access.
  • Handle travel arrangements, expense tracking, and general administrative tasks to support the BDO.
  • Work independently in the office when required, maintaining productivity and focus.

Qualifications:

  • Proven and demonstrated efficiencies as an Executive Assistant, Administrative Assistant, or in a similar role.
  • Strong proficiency in Microsoft Excel, PowerPoint, Word, and Teamm's.
  • Familiarity with AI tools and platforms to enhance efficiency.
  • Exceptional organizational skills with a keen eye for detail.
  • Excellent written and verbal communication abilities.
  • Proven ability to manage complex schedules and track team commitments.
  • Ability to work independently and maintain confidentiality in a professional environment.
  • Bachelor’s Degree in Business Marketing, Management, Finance or similar preferred
