Administrative Assistant

Our client, a prestigious organization located in Princeton, NJ, is seeking a dedicated and detail-oriented Part-Time Administrative Assistant to join their team. The Administrative Assistant will collaborate with staff to undertake the work of administrative and operations support. The ideal candidate will have a strong background in accounting, excellent organizational skills, and a keen attention to detail.
This is a part-time, on site position.
Schedule: M-F, 8:30am-4:00pm. Expected 10-20 hours/week.
Pay Rate: $23-25/hr
Key Responsibilities:
- Provide administrative support to the Senior Director, including bookkeeping functions such as QuickBooks entry of sales, deposits, bills, payments, account reconciliations, and payroll support.
- Act as the main point of contact for external IT vendor, scheduling and facilitating their work.
- Maintain records of software licensing and subscriptions, equipment inventory, and user data. Act as in-house tech support for staff for simple fixes.
- Support organizational digital file systems, reorganizing as needed. Assist with document and report preparation. Assist in documenting standard operation procedures.
- Maintain office supplies; manage catering for staff events; manage office equipment and support virtual office management ensuring all needs are met in staff home offices.
- Participate in organization-wide fundraising events and efforts.
- Other duties as assigned.
Qualifications:
- 3-5 years bookkeeping experience.
- 3-5 years accounts payable and accounts receivable experience.
- 3-5 years administrative experience.
- Proficiency in QuickBooks, MS Office Suite, especially in Excel, required.
- Proficiency in Salesforce a plus.
- Must be highly organized with exceptional attention to detail.
- Strong verbal and written communication skills.
- Strong analytical and problem-solving skills.
- Ability to work independently and manage multiple tasks effectively.
