We are seeking a highly organized and detail oriented Project Management Coordinator to oversee the unit turn process for our scattered site multifamily business. This role will primarily involve managing the administrative tasks associated with preparing vacant units for new tenant. Approximately 30% of the work will be office-based and 70% field-based. The Make Ready Manager will be responsible for coordinating and supervising the make ready team, ensuring timely completion of tasks, and maintaining high-quality standards throughout the process.
Responsibilities
- Administrative Duties: Manage and prioritize work orders, ensuring efficient scheduling and completion of make ready tasks. Coordinate with property managers, leasing agents, and maintenance staff to ensure smooth turnover of vacant units. Maintain accurate records of make ready progress, expenses, and unit status int he property management system. Prepare and distribute reports on make-ready activities, including unit turnover time, costs, and quality control.
- Team Management: Supervise and provide guidance to the make ready team, including maintenance technicians, cleaners, and contractors. Assign tasks and ensure proper training is provided to team members to maintain high-quality standards. Conduct regular performance evaluations, provide feedback, and address any performance issues. Collaborate with HR to recruit, hire, and onboard new team members as needed.
- Quality Control: Conduct regular inspections of completed make ready units to ensure adherence to established standards. Identify and address any deficiencies or issues, coordinating with maintenance staff to resolve them promptly. Implement and enforce safety protocols to ensure a safe working environment for the make ready team.
- Vendor Management: Establish and maintain relationships with vendors, contractors, and suppliers to ensure timely and cost-effective completion of make ready tasks. Obtain competitive bids for services and negotiate contracts to optimize quality and cost efficiency. Monitor vendor performance, resolve any issues, and ensure compliance with contractual obligations.
- Budgeting and Cost Control: Assist in the development and management of the make ready budget, ensuring cost-effective utilization of resources. Review and approve invoices, purchase orders, and expense reports related to make ready activities. Identify opportunities for cost savings and process improvements without compromising quality.
Qualifications
- Knowledge or Real Estate or a related field (preferred)
- Proven experience in property management, make ready coordination, or a similar role
- Strong organizational and time management skills, with the ability to prioritize and multitask effectively
- Excellent communication and interpersonal skills to collaborate with various stakeholders
- Bilingual in Spanish preferred
- Proficiency in property management software and Microsoft Office Suite, especially Excel
- Knowledge of local building codes, safety regulations, and Fair Housing laws
- Ability to work independently and make sound decisions in a fast-paced environment
- Valid driver's license and reliable transportation for field visits
