Major tasks and responsibilities

  1. Administrative duties
  • Sales administration and order processing
  • Attending customer meetings and customer communication
  • Attending internal meeting, take notes and prepare minutes
  • Creating and maintaining filing systems both electronically and physical
  • Accurately updating various Excel files for KPI and other reporting processes
  • Processing expense notes
  • Office supply management
  • Make all the preparations for Trade Shows and provide support during them
  • Completing ad hoc tasks and front office functions as necessary


2. Accounting duties

  • Invoicing customers
  • Processing incoming checks
  • Matching deposits to customer invoices
  • Reconciliation and preparing statements
  • Processing incoming invoices
  • Entering invoices into accounting system
  • Prepare financial reports, including balance sheets, income statement and cash flow statements
  • Manage inventory and sales reporting
  • Assist on budgeting and forecasting processes


Qualifications and profile

  • Experience in booking/accounting
  • Must have strong computer skills: proficiency in Excel, Word, Outlook and QuickBooks.
  • Ability to prioritize and multi-task
  • Strong organizational skills
  • Deadline oriented
  • Accuracy in data processing
  • Close attention to detail
  • Professional and articulate
  • Analytical ability and problem-solving skills
  • Willingness and ability to learn in a dynamic environment
  • Experience in business to business environment, prior experience in engineering company is a plus
  • Open to wearing many hats
