The Role:

Set up and maintain jobs, work orders, and estimates in the job cost system

Enter and maintain all business group Revised Job Number requests in the job cost system

Enter and maintain all business group change orders and budget revisions in the contract/job cost system

Review, enter, and track/maintain change orders into job cost system and log

Setup new or additional cost codes in the job cost system

Assist in project closeout documentation and finance system/SalesLogix monthly job closings/cancellations

Setup new warranty jobs

Maintain and report on warranty costs at month-end

Order, renew and maintain WA & OR business licenses and log

Serves as backup for the Contracts/Compliance Administrator position.

Serves as backup for the Subcontract Administrator position.


Accountabilities & KPIs

Achieve desired Job Number Request setup, Budget Revisions and Change order turnaround service levels to customers


Capabilities & Experience:

Prior construction and/or mechanical contracting experience preferred.

Strong customer-first attitude with excellent customer service skills

Exceptional organization and administrative skills

High level of initiative with a desire and ability to grow and learn quickly

Strong computer skills, especially with Excel, MS Office, One Note, and MS Teams

Ability to navigate databases, and online content with ease

Experience with Microsoft Dynamics 365 software is a plus

Ability to work both independently and with a team

  • to write business correspondence professionally. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • to perform basic business math skills as required for job cost accounting.
  • to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Microsoft Office software experience required.

Education:

High School education and 5 years of related experience required, AA College degree preferred. Bachelor's degree in accounting preferred, or equivalent experience
