The Role

 

The BLACE team is looking for scrappy, detail-oriented production managers who are interested in building a world-class organization from the ground up. We are actively seeking applicants who are comfortable both with client-facing projects and internal operational work, and who are equally in their element at a board table, gala event, or dive bar.

 

Key Responsibilities

  • The Production Manager will lead operations, successfully execute all hosted events, oversee the facilities of our most active exclusive venues, and ensure all stakeholders are satisfied
  • Develop and implement BLACE procedures for the venues and events
  • Directly responsible for ensuring that these procedures are carried out properly and profitably
  • Regularly evaluate efficiency, make the necessary changes required to maximize productivity and efficiency
  • Manage landlord or venue owner relationships for a subset of our exclusively managed properties while overseeing that clients hosting events are successful
  • Direct weekly check-in meetings and reporting between BLACE staff and landlord/vendor owners
  • Prepare professional, complete, concise, and accurate reports, proposals, contracts, invoices, and other documentation as required for clients and management
  • Translate approved proposals into contract templates and facilitate contract execution
  • Manage active projects and events for a subset of our exclusively managed properties
  • Coordinate with other team members to support team initiatives and standards
  • Create P&L worksheets for each event
  • Train and manage a team of consultants that function as onsite “day of” venue coordinators
  • Schedule venue coordinators, security personnel, cleaning staff, and facilities maintenance in accordance with signed contracts and venue needs
  • Work within the BLACE platform and utilize and Prospecting & Project Management Tools such as Insightly, PandaDoc, Monday.com, etc
  • Venue Contract and Invoice creation, revision, and finalization; including partial legal revision
  • Review and verification of Certificates of Insurance for each event
  • Review Temporary Place of Assembly permit application overview
  • Oversee client-vendor introductions and booking process to ensure client receives service value and to ensure BLACE makes additional profit
  • Develop and implement procedures surrounding venue, onsite staff management
  • Train and coach new team members on BLACE operations and procedures
  • Oversee and support price negotiations and the account management team’s accuracy – as a team as well as individually
  • Ensure clients are being engaged in strong and thoroughly accurate communications
  • Maintain organized and accurate records site, client and event data in shared drive and CRM software
  • Examine financial data and oversee each event’s accounting details to ensure profits are maintained, all involved parties receive payment, and CRM system has accurate final numbers for forecasting
  • All things ad hoc, including:
  • Assist HR team with administrative tasks
  • Collect invoices for accounting personnel
  • Assist with onsite coordination, as well as overseeing physical and janitorial duties
  • Undertake research for vendors and venues
  • Website/platform development and website updates
  • First line of operational defense to protect relationship between venue and clients
  • Platform listing review and website updates

 

Qualifications

  • You are passionate about the event industry, excellent at client relations and facilitating successful experiences
  • You are thoughtful and committed to the BLACE mission of becoming the gold standard and best in class online platform for short-term luxury, blank space, and event coordination
  • You have at least 2-3 years of experience in the events industry in Los Angeles
  • Strong ability to foster, develop and maintain relationships with internal stakeholders, creative agencies, contractors, freelancers, etc.
  • Ability to run scheduled and ad-hoc meetings with many stakeholders to ensure that major dependencies are known and that conflicts are resolved constructively
  • Incredible client-facing communication skills
  • Ability to self-organize and prioritize
  • Proven success in building client and vendor relationships
  • Team management and start-up experience
  • Excel in a fast-paced environment
  • Possess hyper-focused attention to detail
  • Ability to work cross functionally for multiple properties and on multiple platforms
  • High-functioning negotiation and stakeholder management skills are expected
  • Candidate must be able to balance ensuring compliance with the strict rules of the venues with the needs of clients hosting the events
  • Ability to write procedures and other key steps associated with specific venues or events
  • Ability to train and communicate constructively with temporary staff
  • Contract review and contract compliance experience a plus
  • Have a working knowledge of all Microsoft programs and systems (e.g., Office, Teams, Outlook, PowerPoint, Excel, Keynote) and other key software
