The Manager, Events Operations will play a critical role in building, optimizing, and maintaining systems, processes, and best practices that enable the events team to operate efficiently. This role requires a strategic thinker with a strong background in project management software, event management platforms, CRM systems, and other technology solutions. In addition to developing and implementing systems, you will also provide on-site support for NYC-based events and travel to major events across the country, ensuring smooth execution and alignment with the established processes.


Key Responsibilities:

Process Development and Optimization:

  • Design and implement scalable processes and workflows to support all phases of event management, from planning through post-event analysis.
  • Develop standard operating procedures (SOPs) for event-related tasks, ensuring consistency and efficiency across the team.
  • Identify bottlenecks and inefficiencies in current workflows and recommend solutions to improve speed and quality of event execution.
  • Continuously evaluate and improve existing processes, ensuring they adapt to changing team needs and goals.


Project Management System Setup and Maintenance:

  • Lead the setup, configuration, and maintenance of project management tools such as ClickUp, ensuring that event-related tasks, timelines, and resources are effectively tracked and managed.
  • Develop and implement templates, dashboards, and automated workflows within ClickUp to streamline task assignments, timelines, and reporting.
  • Train team members on best practices for using project management software, fostering adoption and consistent usage.


Data Management and Reporting:

  • Utilize HubSpot and other platforms to manage client and event data, including contact lists, engagement metrics, and event outcomes.
  • Create and maintain reporting structures within ClickUp and HubSpot to provide insights on event progress, team performance, and ROI.
  • Develop a system for collecting and analyzing event data, enabling continuous improvement and data-driven decision-making.


On-Site Event Support (NYC-Based and National Events):

  • Provide on-site event support and coordination for NYC-based events, ensuring all processes are followed and team members are supported.
  • Travel to major events across the country as needed, acting as the main point of contact for process adherence and on-the-ground support.
  • Coordinate with vendors, venue staff, and the events team on-site to address any issues and ensure a seamless event experience.
  • Assist in setting up and breaking down event spaces, managing schedules, and troubleshooting any last-minute logistical challenges.


Cross-Functional Collaboration:

  • Collaborate closely with the events team, marketing, and other departments to ensure systems and processes align with company goals and strategies.
  • Act as the primary liaison between the events, operations, and IT teams to troubleshoot issues, implement new features, and integrate other tools as needed.
  • Work with the events team to understand their needs, gathering feedback on current workflows and identifying opportunities for improvement.


Documentation and Training:

  • Create and maintain detailed documentation for all systems, processes, and workflows related to event management.
  • Develop training materials and lead training sessions to onboard team members to new systems, tools, and processes.
  • Serve as a resource for ongoing support, answering questions and providing guidance on system use and best practices.


Quality Control and Continuous Improvement:

  • Establish quality control standards for all event-related deliverables, ensuring consistency and alignment with team objectives.
  • Regularly review and assess process performance, identifying areas for continuous improvement to enhance efficiency and outcomes.
  • Stay informed about new project management, event management, and CRM tools, assessing their potential for integration into the existing ecosystem.


Qualifications and Requirements:

  • Experience: 3+ years of experience in project management, systems design, or operations, with a focus on building and optimizing workflows for teams.
  • Skills: Excellent project management skills with a relentless focus on results; strong understanding of process improvement methodologies.
  • Strategic Mindset: Ability to think critically and design systems and processes that align with both immediate needs and long-term goals.
  • Technology Proficiency: Advanced skills in using project management, event management, and CRM software platforms (e.g., ClickUp, Asana, HubSpot, Eventbrite), with experience in automation and reporting setup.
  • Training and Support: Experience in developing training materials and onboarding team members to new systems and processes.
  • Communication: Excellent written and verbal communication skills, with the ability to collaborate effectively with cross-functional teams.
  • On-Site Coordination: Ability to provide hands-on support at NYC-based events and travel as needed for large events across the country.
  • Attention to Detail: High level of attention to detail, especially in system setup, data management, and reporting accuracy.
