Job title: Office Administrator
Location: Bloomington, MN
Duration: Temp to Perm hire
Pay range: $24/hr. - $27/hr.
The ideal candidate will be in charge of the organization and efficiency of daily office operations. From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.
Responsibilities
- Executive Leadership Support / Office Administration
- Support the senior management team with meeting management including scheduling meetings, creating PowerPoint content, and preparing catering arrangements as needed.
- Prepare expenses for the General Manager
- Participates in the Employee Engagement Committee and coordinates team building and improving overall team health
- Coordinates travel, hotel accommodation and other logistics for visitors, external guests and the General Manager as needed.
- Responsible for screening visitors in advance in accordance with international trade compliance, MKDenial process.
- Responsible for managing and improving the incoming and outgoing mail process.
- Collaborate with the Maintenance / Facility team to ensure that the office is up to date and presentable. Coordinate with the General Manager and the Facility team for office moves and new hire space/moves.
- Serves as the sole contact with office vendors i.e. Shred it, Hermel Vending, etc.
- Maintain company email distribution lists and Teams channels to reflect terminations and new hires.
- Possibly serve as backup for hourly payroll.
- Administer the onsite security access system which includes terminating access for terminated employees and adding new employees, as well as managing visitor badges.
- Coordinate all new employee onboarding to include preparing welcoming gifts, if any, preparing badges for new employees, sending out new employee announcements, and other related tasks.
- Special projects that focus on continuous process improvement
- Assisting with AV needs such as using an owl for a large team or zoom call
Qualifications
- Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Excellent written and verbal communication skills
- Ability to multi-task, organize, and prioritize work
