Position Overview:


Music City Title and Escrow specializes in delivering a top-tier service experience with a focus on high-end, luxury residential properties. As a Title Processor at Music City Title, you excel in managing deadlines, maintaining accuracy, staying organized, and communicating effectively. Your primary responsibilities include completing and reviewing forms and applications, organizing applicant documents and records, and preparing files for closing. You play a crucial role in ensuring files are completed efficiently without compromising quality. 


Key Responsibilities:


Coordinate & Communicate

  • Serve as a liaison between agents, lenders, buyers, sellers, and other settlement agencies or title companies throughout the transaction process (from receipt of contract to closing).
  • Collaborate with all necessary parties to ensure contract dates and lender-related deadlines are met.
  • Respond to questions regarding the closing process and associated requirements.
  • Schedule closing appointments and manage the calendar.
  • Act as a neutral intermediary between all parties, adhering to company policies and mitigating risk.


File Management & Title Processing

  • Receive and process contracts and legal documents to initiate the file.
  • Create and verify records in Qualia, ensuring information is accurate and consistently maintained throughout the process.
  • Request and manage documents from buyers, sellers, real estate agents, lenders, and settlement agencies related to the contract, title, and financing.
  • Order and review title examinations and property records, including mortgages and trust deeds.
  • Ensure the title commitment meets all lender requirements and submit commitments to lenders.
  • Prepare and distribute necessary reports and updates to all relevant parties.


Document Preparation

  • Generate documents for buyers and sellers before closing to facilitate file completion.
  • Prepare legal documents for closing, including recording and filing documents, and distributing final closing statements and title paperwork.
  • Prepare and balance settlement statements, HUDs and CDs to ensure accurate closing fees.


Closing Coordination

Pre-Closing:

  • Re-verify the accuracy and consistency of all documents and records in Qualia.
  • Order payoffs with valid dates beyond the settlement closing date.
  • Provide the complete closing file to the Office Manager for review.

Post-Closing:

  • Track and ensure all funds and documents are properly accounted for and disbursed in accordance with the contract.
  • Obtain funding approval
  • Record documents with the Register of Deeds.


Qualifications for Success

  • Experience in title processing and related administrative tasks with minimal supervision.
  • Strong problem-solving, organizational, and analytical skills.
  • Highly detail-oriented with the ability to multitask, prioritize, and meet deadlines.
  • Exceptional customer service skills.
  • Self-starter with accountability and excellent verbal and written communication skills.
  • Proficiency in Microsoft Office and Qualia (required); experience with additional software platforms is a plus.
