Key Responsibilities

Administrative Excellence:

  • Manage contracts, paperwork, scheduling, and email communication for Team Leads in collaboration with transaction coordinators.
  • Take notes and provide summaries for team meetings, training sessions, and brainstorming discussions.
  • Assist with incoming and outgoing referrals, including follow-up with clients and referring agents.

Client and Vendor Coordination:

  • Communicate effectively with buyers, sellers, lenders, attorneys, and vendors by email, text, and phone.
  • Schedule buyer showings and prepare buying/selling folders and offer paperwork.
  • Assist with setting up and taking down listing materials, including signage, combo boxes, and marketing materials.

Team Support:

  • Support our operations team during client events.
  • Collaborate daily with our Operations Manager and virtual assistants.
  • Check in with agents to ensure daily accountability and task completion.
  • Assist Team Leads with personal tasks as needed.

Real Estate Support:

  • Conduct property comparisons (comps/CMAs) and assist with showings, walkthroughs, and listing setups.
  • Maintain flexibility to work occasional evenings and weekends for client needs.
Qualifications
  • Detail-Oriented: Exceptionally organized with strong initiative and problem-solving skills.
  • Outgoing & Professional: Excellent verbal and written communication skills with a professional demeanor.
  • Go-Getter: Responsive, proactive, and thrives in a fast-paced environment.
  • Tech-Savvy: Familiarity with Bright MLS, Follow Up Boss, Trello, Google Workspace, and Sisu is a plus.
  • Real Estate Knowledge: Interest in real estate with a willingness to obtain a license (VA/DC licensing is preferred).
  • Social Media Skills: Experience with Instagram, Facebook, and content editing is desirable.
  • Flexible Schedule: Ability to work evenings and weekends when needed.
