Job Summary

Reporting to the Vendor Relations Supervisor/Manager, the Vendor Relations Clerk I will be responsible for the day-to-day maintenance of the repairs process. This role involves coordinating with vendors, recording and following up on customer requests, and ensuring the timely and accurate completion of all related tasks.


Essential Duties and Responsibilities

  • Customer and Vendor Coordination: Receive customer requests and coordinate with vendors to complete repairs or equipment requests.
  • Issue Tracking: Record all incoming issues in designated systems and follow up with vendors and clients to ensure deadlines are met.
  • Customer Updates: Continuously update customers and systems timely and accurately.
  • Issue Resolution: Address day-to-day issues related to vendors and work with internal partners to resolve issues in a timely manner.
  • Quote Review and Processing: Review and submit quotes and information received from vendors to determine next steps, including coordinating or ordering parts and other trash management needs.
  • Work Order Accuracy: Utilize systems to check for accuracy on work orders to ensure they are processed efficiently, and data is correct for reporting and billing purposes.
  • Email and System Monitoring: Monitor team email and systems for new or escalated requests and assist with coverage.
  • Order Management: Maintain orders in the assigned territory to meet individual/team metrics and ensure accuracy. Assist in other areas when needed.
  • Process Improvement: Review and analyze processes and procedures to identify needs and provide recommendations with high emphasis on continuous improvement.
  • External Interaction: Interact externally to resolve issues affecting operations, including communication with intercompany departments, vendors, and other outsourced companies.
  • Vendor Onboarding: Assist with developing and implementing process improvement solutions related to vendor processes and work with operating areas to implement. Assist as necessary with the onboarding process of all new vendors.

Work Environment

  • Motor Coordination: Required to use motor coordination with finger dexterity (such as keyboarding, machine operation, etc.) most of the workday.
  • Physical Effort: Required to exert physical effort in handling objects less than 30 pounds rarely.
  • Occupational Risks: Required to be exposed to physical occupational risks (such as cuts, burns, exposure to toxic chemicals, etc.) rarely.
  • Physical Environment: Required to be exposed to physical environment which involves dirt, odors, noise, weather extremes or similar elements rarely.
  • Setting: The normal setting for this job is a hybrid office setting.


Must-Haves

  • Education: High School Diploma or GED (accredited).
  • Skills: Strong organizational skills, attention to detail, effective communication skills, ability to work independently and as part of a team.


Nice to Haves

  • Experience with database management systems.
  • Knowledge of vendor management processes.
  • Familiarity with continuous improvement methodologies.
  • Previous experience in a customer service or vendor relations role.
