Job Summary:

We are seeking a dedicated and organized Customer Service and Office Manager to join our team. This role is a hybrid of customer service and administrative management, providing support to ensure smooth office operations, excellent customer interactions, and a welcoming workplace environment. The ideal candidate will be a proactive problem-solver with a keen attention to detail and the ability to manage multiple responsibilities efficiently.


Key Responsibilities:

Customer Service:

  • Answer incoming phone calls and direct them to the appropriate employee or department.
  • Assist with resolving customer service or order issues promptly and effectively.
  • Process customer orders. 
  • Direct email inquiries to the appropriate person/department. 
  • Maintain a thorough understanding of company systems, including Dear Systems, Shopify backend, and QuickBooks, to assist with customer service and operational tasks as needed.

Administrative Tasks:

  • Organize and manage order sheets daily, separating them by type and distributing them to applicable employees for digital matching.
  • Maintain an organized filing system for order sheets, sorted by type in binders and file cabinets.
  • Support team members with systems-related tasks and troubleshooting when necessary.

Office Management:

  • Maintain the physical office calendar, highlighting events, holidays, birthdays, and special occasions.
  • Decorate the office for holidays and celebrations, including birthdays for team members.
  • Keep the team up to date with important dates, announcements, and out-of-office notifications.

Event Coordination:

  • Coordinate Friday team lunches, employee birthdays and holiday celebrations:
  • Gather headcount and place orders in advance.
  • Pick up food when necessary and arrange it on the serving table with plates, napkins, and utensils.

Qualifications:

  • Previous experience in customer service and/or office management roles.
  • Proficiency in Dear Systems, Shopify backend, Google Drive and QuickBooks preferred.
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills, both verbal and written.
  • Ability to multitask and prioritize tasks effectively in a dynamic environment.
  • A positive and proactive attitude with a commitment to creating a welcoming and efficient workplace.
