Overview: The Executive Support Specialist will provide essential administrative support to our executives while delivering exceptional customer service to our REBNY members.
Responsibilities:
Executive Administrative Support:
- Manage the scheduling and coordination of appointments and meetings on executives' Outlook calendars.
- Facilitate effective communication by handling email correspondence and interactions with internal and external contacts.
- Act as a gatekeeper, ensuring confidentiality while distributing information to the appropriate parties.
- Oversee front desk reception and warmly greet visitors, maintaining a professional and welcoming atmosphere.
- Perform administrative tasks across REBNY as needed.
- Assist in meeting and events operations, including RSVPs, check-in, setup/teardown of catering, room configuration, and AV setup.
Membership and Customer Service:
- Provide exceptional customer support to REBNY members in-person, through phone, and email interactions.
- Address member inquiries, process payments, and resolve issues promptly and efficiently.
- Escalate complex problems to appropriate channels and follow through until resolution.
- Support membership dues campaigns and contribute to related initiatives.
- Assist with various membership-related tasks as required.
Qualifications:
- Bachelor's Degree from an accredited institution.
- Minimum of 3 years of experience in a corporate office environment.
- Demonstrated ability to exercise discretion and confidentiality while handling sensitive information.
- Strong verbal and written communication skills to interact effectively with employees, guests, and external members.
- Exceptional organizational skills, with the ability to manage multiple priorities and assignments concurrently.
- Ability to be proactive and resourceful when need arises.
- Diplomatic, respectful, and solution oriented.
